•Team Administrative Assistant •
How does the role impact the organization?
The primary role of the Administrative Assistant is to support one of the high producing Advisory teams ensuring the clients receive outstanding service.
The candidate is a self-motivated individual with exceptional administrative skills and a dependable nature. The candidate will bring to the role an ability to work within deadlines both independently and as part of a team, proven effective time management skills, with a focus on customer service and a willingness to go above and beyond what is asked. This is an entry level position within a supportive team environment whose contributions are important to the success of the client relationship with the Financial Advisor, and to the success of team as a whole. The candidate should be drawing on previous experience as an Administrative Assistant or in a financial services firm, or upon a degree/diploma within Business Administration. They must have meticulous attention to detail, possess a positive attitude, and have exceptional interpersonal skills. The successful candidate must also be responsible, confident, self-motivated, and a team player.
What is the position responsible for?
• Provide accurate, organized and efficient administrative support to two advisors on a fast-paced growing team;
• Be responsible for and support the team with paperwork & manage head office correspondence;
• Basic financial administrative duties including sending funds, address changes, client account agreement updates and other documents in the everyday management of clients financial accounts;
• Communicate internally with various operational and administration departments;
• Process and follow up on security transactions and transfers;
• Assist during tax reporting season, liaising with tax professionals & clients to provide details, slips and updates as required;
• Handle incoming and outgoing phone calls with clients and respond to requests for information;
• Schedule and organize client meetings;
• Maintain Financial Advisor files;
• Perform general office duties; and
• Prepare for client meetings

What do we expect from you?
• An interest and willingness to learn basic fundamental investment concepts, practices, and procedures used in the securities industry;
• A working knowledge of administrative processes and procedures;
• Proficiency with Microsoft Office (Word, Excel, PowerPoint & Outlook), Internet Explorer;
• Knowledge of Goldmine & Dataphile Software an asset;
• Excellent verbal and written communication skills;
• Strong organizational and problem solving skills;
• Meticulous attention to detail;
• Exercise tact and discretion in the handling of confidential information;
• The ability to handle confidential information;
• The ability to work in a team environment and demonstrate a professional and friendly manner;
• Self-starter attributes, motivated and hardworking with the ability to prioritize, multitask, work within deadlines in a high-volume, pressure-oriented environment and provide necessary follow up while maintaining a high level of service and an imperative attention to detail.

Licenses and Certifications
• Completion of the Canadian Securities Course (CSC) is an asset.
