This role provides essential administrative support to the Manager of Marketing, Recruitment, and Communications (MARC) and the MARC team, ensuring the seamless operation of a diverse and dynamic portfolio that includes marketing campaigns, student recruitment, event coordination, alumni relations, and communications.

Success in this position demands exceptional attention to details, strong interpersonal and communication skills, and the ability to manage multiple responsibilities effectively. The incumbent is responsible for planning, coordinating, and monitoring a wide range of tasks while keeping all stakeholders informed of upcoming commitments, responsibilities, and key developments. This role requires a broad skill set and a thorough understanding of University and Schools policies and procedures to deliver high-quality administrative support.



What You'll Do:



Administrative Support:

Arrange weekly MARC team meetings and follow up on action items. Maintain and update yearly plan spreadsheet and shared event calendar. Gather and coordinate information, data, and insights from various events and projects. Coordinate with the MARC team and prepare quarterly MARC reports based on data, insights, and reports provided by the team. Provide guidance regarding University policies, Hill and Levene Schools' branding, and visual identity. Ensure proper e-filing and archiving of documents, photos, videos, etc. for easy access. Oversee generic emails to ensure all internal and external requests are addressed or redirected to the appropriate person.

Event Coordination:

Coordinate logistics and provide technical/administrative support for events such as information sessions, recruitment events, orientations, and Leaders Councils. Assist with ordering and managing catering, signage, and other logistical requirements for internal and external events. Support event registration and manage on-site tasks, including maintaining equipment and handling registration desks.

Marketing and Communications Support:

Collaborate with Printing Services for materials such as banners, business cards, recruitment materials, and name tags. If needed, conduct website and social media audits to identify and rectify errors or issues. Publish events and program pages updates on the website. Prepare and send surveys and report results.

Operational and Budget Support:

Manage inventory for SWAG and promotional items, ensuring proper labeling and safe storage. Handle MARC equipment, including reservations, maintenance, and logging usage. Ensure invoices are processed, tracked, and reconciled as per planned budgets. Monitor and track the budget to ensure alignment with the plan. Identify and correct errors in invoices, liaising with relevant departments and suppliers to ensure swift resolutions.

Position Requirements

What You'll Bring to this Position:

Completion of a recognized office education program; Three years office experience in a position providing a variety of administrative support, showing progressively increasing administrative support responsibilities; A combination of education and experience may be considered.



Skills That Will Ensure Your Success in the Role:



An understanding of University policies and procedures and the programs associated with the Hill and Levene Schools of Business is considered an asset; Understanding of brand, strategic plan, and visual identity is considered an asset. Must be proficient in MS Office applications (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat; Familiarity with Cascade, Banner, Canva, Qualtrics, FAST is considered an asset; Demonstrated experience in all aspects of meeting coordination, including developing agenda items and taking minutes; Experience using databases and/or spreadsheets to compile and maintain information; Experience with tracking expenses, and running reports; Demonstrated experience organizing events and delivering professional, competent customer service; Ability to work both collaboratively and independently to complete tasks and make sound decisions. This requires taking initiative by learning who to contact and what information to maintain and using the most appropriate method available to compile and maintain information; Strong interpersonal and communication skills and an ability to interact effectively in a professional manner with students and potential students, alumni, major donors, vendors, senior members of the business community and senior executives within the University; Strong communication skills including the ability to create, compose and edit a variety of written and electronic material; Ability to work with minimal supervision and to be able to organize multiple tasks to meet deadlines while maintaining accuracy and attention to detail is required; Robust attention to detail is essential; and, Must be able to demonstrate the ability to be tactful and courteous, to maintain effective working relationships with other employees and diverse range of internal and external University stakeholders with whom they interact, and to be able to exercise judgment and discretion when dealing with confidential and sensitive matters.
Physical Demands
Occasional event set-up and tear-down including lifting and moving boxes and other items.
Pay Grade CUPE Phase 4 Salary Range $44,262.40 - 59,768.80 Annually Status Term Work Hours
8:00am-4:30pm Monday-Friday with occasional work in the evenings or on weekends as required.
