The Administrative Assistant reports to the Faculty Administrator and is primarily responsible for the business processes, financial management, compliance, and administration of the Faculty of Nursing. This role contributes to these processes and provides oversight for financial planning, budgeting, and special projects. As such, they assist management with recommendations, pricing, contracts, and invoicing strategies.




What You'll Do:



Purchasing Expert:

Coordinates purchasing, such as contacting vendors to obtain quotes, entering requisitions in Banner, and placing orders directly with vendors via PCard when appropriate. Ensures proper receipt of items and distribution of goods and manages product returns and credits as required.

Invoicing and Payment Processing:

Ensures appropriate processing for internal and external invoices. Enters receiving notices for Purchase Orders.

Contract Management:

Maintains information on various contracts, entering and maintaining in a database for future reference and budget projection purposes.

Record Keeping:

Tracks all purchases made in a database, ensuring copies of relevant contracts, invoices and agreements are stored correctly.

Evergreen Program:

Assists with administrative duties related to the annual Evergreen computer refresh program, which includes scheduling deployments, record keeping, and asset tracking.

Fixed asset control:

Ensures that assets are barcoded and that asset information is updated as required, following set policies. Assists with regular fixed asset tracking, reconciliation and salvage of assets.

Reimbursements:

Prepares reimbursement claims for travel, purchases, collects signatures and records submissions.

Funds Transfers:

Prepares Journal Vouchers as required, ensuring appropriate transfers and charges are completed.

Cash and Deposits:

Manages all petty cash requests, tracks expenses, ensures they adhere to the University's financial policies, and replenishes this fund when required. Processes Cash transmittal, collects, tracks, and deposits all cash and cheques, determining FOAPALS to be credited.

Reconciliation:

Conducts monthly reconciliations for all accounts, including regularly reviewing transactions in the FAST financial reporting tool for accuracy.

Position Requirements

What You'll Bring to this Position:

Graduation from Grade 12 supplemented by the successful completion of a recognized business course. Minimum of 5 years of administrative experience directly related to the duties specified, preferably within a university environment. A combination of education and experience may be considered.


Skills That Will Ensure Your Success in the Role:

Demonstrated advanced computer and keyboarding skills, specifically with Microsoft Office products. Advanced Excel skills are required. Direct experience working in University-specific applications, including Banner, FAST, Caspur Reports, and FAMIS. Experience working with other complex database systems is an asset, such as MS Access. Demonstrated knowledge of accounting principles, procedures and budgets is required. Thorough knowledge of U of R financial, budgetary and procurement policies and procedures is an asset. Must have superior problem-solving skills; ability to demonstrate initiative, interpret and implement policies and procedures and apply sound judgment without detailed instruction or review. Excellent organizational skills with a demonstrated ability to manage complex and sensitive work assignments, anticipate tasks, meet competing deadlines and manage priorities while maintaining a high degree of accuracy. Demonstrated knowledge of office practices, principles, procedures and office equipment. Experience in records management, tracking of information and statistical compilation. Ability to work independently with minimal supervision. Experience in records management and tracking of information. Exceptional interpersonal skills and an ability to develop and maintain effective collegial working relationships. Ability to deliver excellent customer service. Ability to communicate effectively, understand and execute oral and written instructions. Knowledge of supplies, services, and equipment ordering and inventory control. Ability to plan and coordinate multiple projects.
