We are seeking a highly motivated individual to assume the function of administrative assistant, reporting to General Manager, Station Operations - Ottawa.
Responsibilities:
Interface/liaise with Senior Management of various branches, as well as other organizations (e.g. airport authorities.
Coordinate overall functionality of Administrative office/personnel.
Direct handling of routine and confidential matters, i.e. correspondence, telephone queries, etc.
Manage all correspondence, internal and external, respond as required and as appropriate.
Prepare spreadsheets, graphs, presentations, overheads as required.
Coordinate meetings both locally and at remote locations, i.e. book conference rooms, meeting notices, etc.
Prepare, coordinate and distribute meeting material, e.g., agenda, reports, presentation, etc.
Establish and maintain filing and follow-up systems.
Provide general administrative and secretarial support, as required.
Provide assistance to local Loss Control Manager ( CAMS -degree of confidentiality/organization).
Qualifications
Minimum of a high-school diploma
At least three to five years of experience as an administrative assistant
Sound knowledge and proficiency of computer skills including Word, Excel and Power Point.
Strong organizational skills, disciplined and self motivated.
Excellent communication skills (oral and written) well developed inter-personal skills.
High degree of diplomacy, discretion, maturity and judgement.
Applicant must be flexible and willing to work extended hours on occasion; strong personal initiative and have the ability to work in a confidential capacity, with little or no supervision.
Ability to work well under pressure.
Demonstrate punctuality and dependability to support overall team success in a fast-paced environment.
Conditions of Employment:
