We are seeking an outgoing, detail-oriented, highly-organized, efficient person to join our amazing Admin Team in providing front desk support to our growing Psychotherapy & Assessment practice. The ideal candidate will be adept at prioritizing and multitasking, as well as have a positive attitude. The ideal candidate will be responsible for providing exceptional support in a fast-paced environment, ensuring the smooth operation of daily administrative tasks. This role is essential for maintaining effective communication within the office and with clients, contributing to overall efficiency and productivity. You will rock this role if you possess excellent communication skills and the ability to lead and promote the vision of the clinic. You must be able to stay extremely organized, think 10 steps ahead, and see the big picture with an entrepreneurial mindset. You have a passion for helping others, as you will be communicating with our clients.
Duties
Manage front desk operations, greeting visitors and directing them appropriately
Supporting Psychologists and Psychotherapists with client bookings, payments, administrating intake & consent forms, etc.
Client support: welcoming clients to the office, answering client calls and emails, processing payments at the end of sessions.
Provide excellent customer service by responding to inquiries and addressing client needs promptly
Maintaining Quality Assurance (follow up to payments, securing payment information, uploading secure documents, managing the booking software including schedules and treatments offered)
Scanning assessment files into electronic health records software
Maintenance of office area, office supplies, and clinical files
Updating operations manual with new or changed processes
Screening therapist candidates
Tracking clinic metrics
Assist with proofreading documents to ensure accuracy and professionalism
Qualifications
2-3 years of experience in Client Care and Customer Service (preferably in a medical office at the front desk)
Psychology undergraduate students and graduates are welcome!

Working autonomously comes easy to you but you also love collaborating with a talented team
Considerable experience using the Microsoft Office Suite, Google Drive Suite, Gmail, Dropbox, Windows in a work environment
Knowledge of the Jane App scheduling software is an asset
