Job Description

Reporting to the Administrative Manager, and supporting the work of the Director, Undergraduate and Graduate Coordinators, the Administrative Assistant will provide administrative support for all graduate, undergraduate and credited certificates offered by the School from first contact to completion and associated support responsibilities.
Key Responsibilities

  • Act as information resource for and advisor to prospective students, either in person or through schools general email, in areas such as program options, requirements, application process, etc.
  • Receive and review applications and maintain any required confidential computerized records for Undergraduate and Graduate Coordinators and the Admissions and Curriculum Committee. Liaise with the Registrar's Office and Faculty of Graduate Studies, when required.
  • Monitors student progression through program, reporting any concerns, depending on the issue, to either the Graduate/Undergraduate Coordinator or the Director.
  • Prepare call for awards and provide the required documents for either School Council or the Admissions and Curriculum Committee for their review and decision.
  • Provide administrative support to the Director and Graduate and Undergraduate Coordinators.
  • Support the School Council and Admissions and Curriculum (A&C) Committees, including drafting agendas, recording and distributing minutes, and ensuring action items are completed.
NoteThe successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.
Required Qualifications
  • Business/Administrative Professional training with three to five years' related work experience (or equivalent combination of training and experience).
  • Proficiency in MS Office (Word, Excel, Access, and PowerPoint).
  • Strong communication and interpersonal skills.
  • Ability to work independently, be highly organized and to prioritize work.
