We are currently seeking a highly organized Administrative Assistant to join our dynamic team. This is a full-time, 12-month contract position focused on providing essential administrative support to ensure smooth operations within the organization.
Objective:
The Administrative Assistant plays a crucial role in facilitating efficient office operations through a wide range of administrative and office support activities. This role ensures that all administrative processes run smoothly and that the Ignite team has the support needed to meet organizational goals.
Duties & Responsibilities:
General Administrative Support:
• Provide administrative assistance to the Office Manager and team members.
• Perform clerical duties, including data entry, filing, document preparation, and report generation.
• Manage office supplies and inventory.
• Handle incoming and outgoing mail.
• Transcribe minutes from team meetings.
• Assist with IT support and liaise with service providers when necessary.
Director of First Impressions:
• Serve as the first point of contact for all incoming requests.
• Provide operational support and manage information flow.
• Triage inquiries and ensure timely responses.
Event Support:
• Coordinate internal events such as team bonding activities, birthdays, work anniversaries, and training sessions (space booking, catering, invitations).
• Assist with planning and coordinating external corporate events (AGM, board lunches, etc.).
HR Support:
• Assist Committee Chairs with Joint Health and Safety Committee meetings, scheduling, and reporting.
• Coordinate employee training sessions (cybersecurity, workplace safety, etc.) and ensure compliance.
• Support recruitment efforts and streamline HR administrative processes.
Accounting Support:
• Assist with expense reconciliations.
• Support loan and grant administration and manage client files.
Other duties as required.
Qualifications:
• College degree in a related field or a high school diploma with relevant experience.
• Minimum of 3 years of experience in a similar administrative role.
• Experience in an economic development environment is an asset.
• Ability to work in-office from 8:30 AM to 4:30 PM, Monday to Friday.
• Flexibility to occasionally support evening events.
• Proficient in Microsoft 365 applications.
• Exceptional internal and external customer service skills.
• Strong attention to detail with excellent organizational and time management abilities.
• Superior communication and interpersonal skills, capable of working with diverse teams and stakeholders.
• Basic knowledge of accounting functions.
• Experience with QuickBooks Online or other accounting software is an asset.
• Strong oral and written English language skills; bilingualism (French/English) is an asset.
