Major Accountabilities/Responsibilities
• Crafting professional and customer-friendly letters and emails on behalf of team members as needed.
• Responding promptly and courteously to emails, phone calls, and inquiries, ensuring a positive experience for students and colleagues.
• Performing administrative tasks such as filing, typing, copying, faxing, and scanning with efficiency and accuracy.
• Organizing and maintaining both digital and manual filing systems to ensure easy access to important information.
• Providing clear, accurate, and helpful information to students and colleagues while handling sensitive data with confidentiality.
• Continuously improving administrative processes to enhance efficiency and service quality.
• Assisting with key student-focused events, including graduation coordination and orientation sessions for first- and second-year students.
• Working collaboratively with the Student Advisory Services (SAS) team and Faculty to provide exceptional support and guidance to students.
Education and Experience
• Diploma or Certificate in Office Administration from a recognized institution.
• Minimum of two years of experience in an administrative role, preferably in a customer-focused environment.
• At least two years of customer service experience, with a strong ability to engage and support students, clients, or customers.
• Strong knowledge of office administration procedures and best practices.
• Previous experience in a sales or customer service setting is considered an asset.
Skills and Competencies
• Exceptional verbal and written communication skills with strong grammar and spelling.
• Ability to prioritize and manage multiple tasks while adapting to changing needs.
• Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
• Strong organizational and planning skills to ensure smooth operations.
• Keen attention to detail to maintain accuracy in all tasks.
• Professional and friendly telephone etiquette.
• Ability to build strong, positive relationships with students, staff, and faculty.
• Commitment to delivering excellent service while working under pressure.
• Effective time management skills to meet deadlines and ensure smooth workflow.
Note: The schedule is Tuesday, Wednesday and Thursday from 12.30 pm to 9 pm, Friday from 8.30 am to 5 pm and Saturday from 8 am to 4.30 pm
