About the Position:

As the Accounts Payable Clerk, you will play a critical role in managing our organization's expenditures, ensuring timely and accurate payments, and maintaining solid financial records. This full-time position reports to the Accounting Coordinator and directly contributes to the financial health of our agency.

Responsibilities:



Process and verify invoices, expense reports, and payment requests accurately and in a timely manner. Code invoices to the proper general ledger accounts, ensuring accuracy and adherence to non-profit accounting principles. Prepare and execute payment runs (cheques, EFT, wire transfers) and reconcile accounts payable transactions. Manage vendor accounts, including setting up new vendors, maintaining current contact information, and responding to vendor inquiries. Review and process employee expense reports and mileage claims, ensuring compliance with company policies. Reconcile, enter, and process all agency Visa accounts and Petty Cash accounts, ensuring accurate documentation and proper coding. Assist with month-end closing activities related to accounts payable. Maintain organized and complete AP files and documentation in accordance with company policy and audit requirements. Assist with annual audits by providing necessary documentation and explanations related to AP. Other duties as required.

Qualifications:



Proven experience (1-3 years preferred) in an Accounts Payable role, preferably within a non-profit or similar environment. Strong understanding of basic accounting principles and non-profit accounting. Experience with corporate credit card and petty cash reconciliation is highly desirable. Proficiency in accounting software and Google Workspaces Suite, especially Google Sheets. Exceptional attention to detail and a high degree of accuracy. Excellent organizational and time management skills with the ability to prioritize tasks and meet deadlines. Strong written and verbal communication skills for effective interaction with vendors and internal staff. Cultural competence and the ability to conduct oneself in a manner that is respectful and encouraging of the cultural/spiritual beliefs and practices of others. A Police Information Check and an Intervention Record Check must be completed upon hire.
