We are a fast-paced real estate brokerage dedicated to delivering exceptional service to our agents and clients. We are looking for a professional, organized, and welcoming Receptionist to be the first point of contact in our office and provide strong administrative support to our team.
Responsibilities
Greet and assist clients, visitors, and agents in a warm and professional manner
Answer and direct incoming phone calls; provide general information as needed
Monitor and manage the office email inbox, forwarding inquiries to the appropriate team members
Schedule showings, meetings, and appointments for agents and management
Prepare and organize listing documentation, forms, feature sheets, and compliance paperwork
Maintain and update listing files to ensure accuracy and completeness
Collect, sort, and distribute mail, packages, and internal documents
Keep the front desk area and office common areas clean, organized, and client-ready
Track office supplies, restock inventory, and place orders when necessary
Provide general administrative support including scanning, photocopying, filing, and data entry
Assist with office events, training sessions, and team meetings
Uphold confidentiality of client and agent information and follow all brokerage policies
Skills
Professional and friendly demeanor with the ability to handle a fast-paced environment
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Strong computer skills with the ability to learn new software quickly
Experience with data entry, filing, and clerical duties in an office setting
Excellent customer service skills with professional phone etiquette
Ability to handle multi-line phone systems efficiently
Organizational skills with attention to detail for proofreading and document management
Previous administrative or receptionist experience preferred (real estate experience is an asset)
Knowledge of real estate procedures, MLS listings, or TREB forms is an asset (training provided)
Strong typing skills with high accuracy and speed
Ability to work independently during weekend hours while managing multiple tasks effectively
