We are seeking a highly organized and personable Wedding Coordinator for a contract position to oversee and manage Wedding events at D'Arcy Ranch Golf Club. The ideal candidate will possess strong skills in event management, customer service, and hospitality, ensuring each wedding is executed flawlessly and exceeds client expectations. This role offers an exciting opportunity to work in a dynamic environment, coordinating all aspects of wedding events while showcasing your expertise in event planning, vendor negotiations, and guest services.
Duties
Collaborate with clients to understand their vision and coordinate all wedding details, including venue setup, decor, and entertainment
Negotiate contracts with vendors such as florists, photographers, and entertainment providers to secure the best terms for clients
Develop and manage event timelines to ensure smooth execution of each wedding
Coordinate collaboratively with the Head Chef, Front House Manager, and Tournaments Manager
Upsell additional enhancement services for client satisfaction and event experience
Assist with Wedding marketing efforts to promote services and attract new clients
Manage on-site logistics during events, including guest management, vendor coordination, and troubleshooting any issues that arise
Maintain excellent customer service by addressing client inquiries promptly and professionally before and during events
Ensure compliance with health & safety standards and local regulations throughout the planning process and on the event day
Assist with post-event follow-up to gather feedback and foster ongoing client relationships
Work with Front House Manager and Head Chef to schedule servers or kitchen staff as necessary
Requirements
Proven experience in event planning or hospitality roles such as banquet management, catering coordination, restaurant or hotel experience is highly desirable
Strong negotiation skills with vendors and clients to achieve favorable terms while maintaining positive relationships
Excellent marketing skills with the ability to promote services effectively through various channels including social media platforms
Demonstrated ability in upselling additional services or packages to increase revenue opportunities
Outstanding communication skills for liaising with clients, vendors, venues, and team members effectively
Experience in budgeting and contract management to ensure financial goals are met without compromising quality
Knowledge of event marketing strategies and guest services within the hospitality industry is preferred
Ability to work independently with minimal supervision while maintaining attention to detail
Prior experience in banquet and wedding operations
