The Treatment Coordinator serves as the primary liaison between patients and the practice, guiding patients through their treatment plans from consultation to completion. This role combines administrative, financial, and interpersonal responsibilities to ensure patients fully understand their treatment options, associated costs, and scheduling needs. The ideal candidate is organized, compassionate, and skilled at building patient trust and confidence.
Key Responsibilities
Patient Communication & Coordination
Review proposed treatment plans with patients in a clear and empathetic manner.
Explain procedures, expected outcomes, timelines, and financial obligations.
Answer patient questions and address concerns to ensure understanding and comfort.
Coordinate treatment appointments and follow-up visits.
Financial & Administrative Duties
Present financial estimates and payment options to patients.
Verify insurance benefits and coverage prior to consultations.
Assist with insurance pre-authorizations and claims when necessary.
Maintain accurate and confidential patient records in the practice management system.
Track case progress and follow up with patients who have not yet scheduled treatment.
Team Collaboration
Communicate treatment details and scheduling needs with clinical and front office staff.
Participate in daily or weekly team meetings to review case progress.
Support marketing or patient retention initiatives as needed.
Qualifications
Required:
High school diploma or equivalent (associate or bachelor's degree preferred).
1+ years of experience in a dental, orthodontic, or medical office setting.
Strong communication, presentation, and customer service skills.
Proficiency with dental/medical practice management software (e.g., Dentrix, Eaglesoft, Open Dental).
Knowledge of insurance verification and billing procedures.
Preferred:
Experience as a Dental Assistant or Scheduling Coordinator
Familiarity with treatment planning and clinical terminology.
