SCOPE OF POSITION
The Travel and Logistics Coordinator will be responsible for supporting the Project and Operations Teams by planning and coordinating cost-effective and sometimes complex travel arrangements for all ConeTec personnel. This includes travel by air, ground, and accommodation at various company rental housing units and third-party hotels and camps. The Travel and Logistics Coordinator is a liaison between ConeTec and booking agents, which requires close monitoring and attention to detail as project schedules change. This is an in-office position based in our Edmonton office.
ROLES, RESPONSIBILITIES & EXPECTATIONS

  • Ensure all travel and logistic arrangements are made, communicated to appropriate personnel, tracked, updated and paid for, including but not limited to:
    • Flights
    • Rental vehicles
    • Hotel and camp rooms
  • Liaise with Project and Operations Teams to track schedule changes and update bookings and reservations as required.
  • Maintain accurate travel inventories (flights, vehicles and lodging).
  • Coordinate regular mail-outs of schedules, site activations and travel and accommodation updates.
  • Ensure all new hires are contacted with travel information.
  • Conduct ongoing research and cost assessments of all travel bookings (hotels, camps, housing, air and ground transportation, etc.) to ensure that the most cost-efficient bookings are made; coordinate service agreements and company accounts with merchants to facilitate booking processes.
  • Develop systems and processes to facilitate procedures and maintain organization.
  • Assist Event Coordinator with corporate event bookings and logistics.
  • Conduct onboarding of new hires by booking travel, accommodation, creating training schedule, booking resultant internal and external training courses as required, and monitoring completion of onboarding tasks.
  • Monitor status of existing safety and training certificates for field staff, and book recertification courses as required.
  • Assisting the Project Team with administrative functions and processes as required.
  • Liaise with accounting to reconcile invoices and financial statements to ensure proper cost coding.
  • Welcome visitors by greeting and directing them appropriately.
  • Notify company personnel of visitor arrival.
  • General administrative duties including answering the office telephone, dispatching calls, taking messages and checking the general voicemail, ensuring messages are distributed, organizing courier shipments, coordinating catered functions in the office, and other duties as required.

SKILLS, QUALIFICATIONS AND EXPERIENCE REQUIRED
Education & Experience Requirements
  • Post-Secondary Diploma/Certificate from an accredited college, university or technical institution
  • 2+ years of relevant experience in travel or logistics coordination and/or administrative experience

Technical Requirements
  • Proficiency in Microsoft SharePoint, Excel, Word and internet applications is a must.
  • Excellent written and verbal communication skills.
