This position will report to the Executive Director and will be responsible for the relationship between HSLS, staff and tenants. The Office/ Tenants Relations manager will mediate all staff and tenant concerns. In order to maintain and improve staff and tenant relations the OMTR Manager will perform many different duties such as participating in recruitment and hiring, communicating policies, exit interviews, attending staff meetings, liaison between HSLS and Tenants which will involve responding to disputes and mediation.
CORE DUTIES:
Office / Project Management
Support the Executive Director with administrative needs and reports.
Effective minutes taking is a requirement.
Help recruit and onboard and train new staff, maintaining excellent records.
Be the go- to for administrative problem solving and team support.
Manage the relationship between HSLS and Staff.
Communicate with the Executive Director on all staff-related issues and discuss resolutions.
Oversee recruitment and hiring practices.
Maintain employee files.
Mediation between staff when required.
Ensure staff are updated when new policies are implemented.
Serves as the Clerk of the Board, providing effective meeting support, ensuring proper coordination, and ensures requirement of the society's act.
Responsibilities include clerking Board/Committee meetings, preparing agendas/packets, minutes, and managing records.
Coordinates and provides support and communications to the Executive Board of Directors meetings as recording secretary; composes and summarizes related minutes. Edits and proofreads materials prepared by staff to ensure inclusion of timely, pertinent source information. Coordinates and prepares distribution of Board packets.
OSH Related duties:
Ensuring health and safety of KS and SW spaces that there are no debris in electrical rooms and furnace rooms.
Promote a culture of safety comply with OSHA and industry standards.
Support a professional, respectful, and productive work environment.
Tenant Relations
Tenant Liaison between HSLS tenants and supervisors (SW);
Communicate with the Executive Director on all tenant related issues and discuss resolutions.
Ensure that policies are following the BC Tenant Relations Act.
Ensures move ins and move out inspections are carried out in a timely manner and that the appropriate documentation is produced, tracked and filed correctly.
Ensure the maintenance materials and supplies requested are delivered to sites in a timely manner.
Review and process work orders for all locations.
QUALIFICATIONS:
Supervisory Experience.
Knowledge of Employment Standards and Laws.
Knowledge of Human Rights.
Knowledge of legislation pertaining to Landlord/Tenancy Act BC; Previous experience working in building management would be an asset; Knowledge of not-for-profit organizations.
PROFESSIONAL SKILLS:
Advanced Technical Skills - Word, Excel and SharePoint is a requirement.
Demonstrated experience in Human Resources management particularly in employee relations; Knowledge of HR policies involving employee relations.
Demonstrated experience in Tenant Relations and handling disputes.
