Job Summary


We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our law office, improve efficiency and provide accounting support. The ideal candidate will have experience in a law office setting as an administrator/manager, or legal assistant with supervisory and administrative experience. The successful candidate will be responsible for managing office functions, supervising staff, and ensuring that all administrative tasks are executed efficiently. This role requires organization, excellent interpersonal skills, strong communication skills, attention to detail.

This position may be expanded and hours increased if candidate interested in legal assistant responsibilities, although not a requirement of the position. The ideal candidate would fill a dual role of office manager and legal assistant in one of our practice areas.

Duties



Manage and coordinate daily office operations. Complete deposits and issue cheques on client matters, in conformity with established guidelines and procedures. Supervise administrative staff and ensure effective communication within the team. Communicate effectively with employees at all levels, coach and motivate the team to foster a positive work environment. Oversee human resources functions such as employee reviews, holiday scheduling, benefits administration, and employee relations. Manage new employee onboarding, including documentation and orientation, by following, and improving as applicable, a structured onboarding checklist, providing new hires with an orientation guide, and providing mentorship to facilitate their transition into the company. Updating and developing "how -to" manuals for key responsibilities of all positions. Assist with clerical duties including filing, data entry, and document management. Suggest improvements to office policies and procedures to enhance productivity and efficiency. Oversee office supply inventory and procurement by tracking supply levels using an inventory management system, setting reorder thresholds, and negotiating with suppliers to reduce costs and maintain adequate stock levels. Liaise with outside IT support and other service providers to ensure smooth office functioning. Liaising with partners, and internal accountant, and providing administrative assistance and support Support recruitment efforts, and conduct/assist with screening and interviews of new staff for best fit. Manage office printer and equipment operations and maintenance. Organizing company-wide initiatives such as team-building events, staff appreciation and special occasion lunches. Social media postings. Any and all other duties to foster a positive, productive and professional office environment.

Skills



Proven supervisory skills to lead a team effectively. Proven skills in office management/administration. Strong clerical skills with attention to detail for accurate data management. Experience in human resources processes including payroll and insurance administration. Ability to budget effectively and manage financial resources responsibly. Strong communication skills for effective interaction with staff, clients and suppliers. Strong skills in electronic file organization. Knowledge and experience in law office setting preferred. Knowledge and working experience with PC Law (billing and accounting) software an asset.
Job Types: Full-time, Part-time

Pay: $25.00-$30.00 per hour

Expected hours: 25 - 35 per week
