Job Description

Busy team is seeking an Team Administrator to Assistant their team. To build this Memorable Journey for our clients we need a super star Admin Assistant (hard-working, motivated, and passionate)who can assist with daily operations. The ideal candidate is a self-starter who can work well in a fast-paced exciting environment and must have a passion for working with our clients in the real estate industry. We promise a great working environment and an opportunity to learn hands-on from top producing Realtors. Duties included but not limited to:

  • Broker of Record calendar management and confirmations on appointments with Leads, Active Clients, Inner Circle Members and Team Members.
  • Team calendar management and confirmations for showing appointments, inspections and open houses confirming appointments with Team Members, Active Clients and residing Tenants.
  • Listing Process Management and bookings with all Strategic Alliances for Installation of Signs, Delivery of Listing Material, Staging Consultations, Photography & Videography, and others providing client updates and Concierge Service.
  • Proper Data Entry into Realvolve Database with Client, Property and Deal Information
  • Setup and Updating of Buyer and Seller Boards on Monday.com for full utilization.
  • Managing Workflows on Realvolve for Active Buyers and Sellers and following up with Clients, Team Members and Strategic Alliances to ensure full utilization of automations set up.
  • Managing Workflows on Realvolve for Strategic Alliances and following up to ensure full utilization of automations set up.
  • Managing Workflows on Realvolve for Inner Circle and following up to ensure full utilization of automations set up.
  • Producing Birthday Lists & Home Anniversary Lists & Significant Date Lists and ensuring that the Inner Circle is receiving communication and appreciation offers as planned.
  • Communicating with Active Clients via phone, voice messages and video content to solve problems, provide clarity on next steps and provide an exclusive Concierge Service.
  • Liasson with Office and Deal Department to Create Offers and reviewing offers to ensure Quality Assurance by reviewing Offer Content and Schedules and by reviewing Property Tours and Property Reports.
  • Inputting Legal Documents for Signing and sending to Active Clients and Team Members.
  • Uploading Executed Documents into Google Drive and Executed Deals into Skyslope
  • Setting Up Deal Summaries for Signing.
  • Getting on a Daily Update Call with Broker of Record to provide research results and facilitate communication with Team Members, Active Clients, Strategic Alliances, and Inner Circle Members.
Considerations and Qualifications:
  • Background knowledge in Real Estate is required.
  • Attention to detail and organizational skills.
  • Great verbal and written communication skills.
  • Ability to meet timelines & work in a fast-paced environment.
  • Comfortable/knowledgeable with using technology and different programs/tech savvy.
  • Basic knowledge of aesthetics and editing software \xe2\x80\x93 image and video.
  • Ability to work independently and as part of a team.
  • Flexibility with time & availability for time-sensitive offers.
  • This is an in-office position with some temporary flexibility around working from home.

Job Type: Full-time Salary: $48,000.00-$50,000.00 per year Schedule:
  • Monday to Friday

Education:
  • Secondary School (preferred)
Experience:
  • Front desk: 1 year (preferred)
  • Administrative experience: 1 year (preferred)
