CRITERIA FOR AN INTERVIEW:

  • Minimum three-year community college diploma or degree related to Business Administration or an equivalent combination of relevant education and experience
  • Minimum two (2) years\xe2\x80\x99 experience in an executive administrative role with Supervisory experience
  • Experience working with multiple stakeholders (internal and external)
  • Experience working in a planning and facilities environment is an asset
  • Familiarity with the school district\xe2\x80\x99s organizational structure, programs, policies and procedures is an asset
  • Working knowledge of the Education Act, various relevant regulations, collective agreements, and of the Ontario public education system in general, would be an asset
  • Excellent organizational, interpersonal oral and written communication skills
  • Must be proficient (advanced level) in the use of all major computer software applications such as Microsoft Office Suite
  • Experience with SAP and E-Scribe an asset
  • Proven excellent interpersonal and organizational skills and maintain a high level of tact, diplomacy and confidentiality
  • Must be able to organize and ensure timely completion of multiple tasks and priorities
  • Demonstrate flexibility and ability to deal with constant demands, deadlines and interruptions
  • Availability and flexibility to work outside core office hours as required

MAJOR DUTIES AND RESPONSIBILITIES: Reporting to and under the direction of the Superintendent of Facilities Services, the Superintendent of Planning & Development Services and the Superintendent, Environmental Support Services, this position plays a vital role in providing administrative support in the efficient operation of the Superintendents\' Office. This position will be expected to work cross-functionally and collaboratively with multiple teams to coordinate and manage specific administrative and supervisory tasks while maintaining priorities of the departments. Duties and responsibilities include, but are not limited to the following:
  • Support the Superintendents\xe2\x80\x99 with a broad range of administrative activities to ensure the effective day to day operations of the office, including coordinating work flow providing updates on all current and emerging issues of importance, including sensitive and confidential matters
  • Assist with the preparation of correspondence related to confidential real estate and development initiatives, board reports, minutes and agendas etc.
  • Develop/maintain an Excel spreadsheet for retrieval of confidential appraisal reports and real estate agreements, including Agreements of Purchase and Sale, Minutes of Settlement, and all matters related to expropriations; track the status of all pending real estate agreements and diligence requirements related to property agreements
  • Oversee divisional administrative processes/procedures and provide supervisory oversight and direction to secretarial staff for the purposes of daily coverage and with respect to staffing; scheduling; delegation of workload; provision of back up administrative support to other management staff; vacation scheduling as required within the various Superintendents\xe2\x80\x99 areas
  • Develop and implement new tools and methods for the continual improvement and efficiency of practices and processes
  • Review processes, procedures and progress to provide subject matter expertise, and provide well developed reporting and communication to key stakeholders
  • Provide informal guidance and/or support to multi-disciplinary teams in establishing goals, objectives and deliverables
  • Assist in the preparation and monitoring of departmental budgets
  • Assist with the maintenance of databases such as SFIS, accessibility, mechanical equipment and comprehensive facilities database
  • Facilitate effective and collaborative communication between internal departments, and other stakeholders and external agencies such as Ministry of Education, private and public sector offices
  • Troubleshoot matters of importance to the relevant Superintendents and provide solutions and recommendations to aid in resolution while exercising judgment, which may be political, sensitive, and in some cases, confidential in nature
  • Record minutes for Union-Management meetings, negotiation meetings between management and bargaining units and staff allocation committee meetings, etc; coordinate, arrange and maintain meetings and events calendar
  • Respond to enquiries and/or sensitive issues from parents, schools, other stakeholders and take appropriate action in accordance with established procedures and guidelines
  • Develop reports, proposals and make recommendations to management for effective decision-making
  • Perform other duties as assigned or required
