Vous travaillerez a distance dans la region de Montreal initialement, puis eventuellement en personne dans notre bureau de Montreal. Vous travaillerez principalement avec l'equipe des operations du Quebec. En collaboration avec le specialiste des operations et le PMO, vous serez responsable de la coordination et du soutien aux reunions cles de l'equipe des operations telles que les appels mensuels des responsables de pratique, les examens commerciaux hebdomadaires, mensuels et trimestriels et les reunions regionales. En tant que coordonnateur(trice), vous allez etre responsable pour l'organisation et la tenue de divers dossiers d'information pour l'equipe, notamment les plans d'action de nos cliniques dentaires et d'autres activites qui maintiennent l'equipe organisee et efficace. Le coordonnateur(trice) fournira egalement un soutien a l'ensemble de l'equipe des operations, l'objectif principal etant le soutien a notre equipe et a nos cliniques dentaires dans la province de Quebec. Relevant du directeur principal de l'optimisation des processus, de la strategie et du PMO, le poste contribue a la coordination de divers programmes lies aux operations.
Responsabilites

  • Soutenir de maniere proactive l'equipe des operations avec des outils efficaces, la gestion des donnees, des listes de cliniques dentaires, la tenue de dossiers, le suivi et la creation de rapports sur les mesures mensuelles pour evaluer l'efficacite continue de diverses initiatives.
  • Diriger divers projets operationnels en collaboration avec des equipes interfonctionnelles.
  • Ameliorer les processus si necessaire grace a l'analyse et a la pensee creative
  • Aider a la mise en oeuvre et a la gestion des outils et du materiel de soutien aux operations.
  • Compiler, rediger, editer, traduire et relire le contenu technique et les communications d'une equipe de divers experts en la matiere et les transformer en informations claires et percutantes pour soutenir les objectifs commerciaux.
  • Prendre des initiatives en organisant efficacement diverses reunions d'exploitation, y compris la creation/consolidation de presentations, la selection du lieu, la logistique, les communications, etc.
  • Organiser de grands evenements regionaux (50+) en collaboration avec l'equipe de direction des operations. Soutenir a la fois l'equipe du Quebec et celle des operations au sens large, avec des reunions, des webinaires, etc., y compris des invitations, la preparation de documents justificatifs, la publication de recapitulatifs, de plats a emporter, etc.
  • Soutien administratif a l'equipe du Quebec selon les besoins
  • Creer et examiner des rapports pour surveiller et ameliorer l'efficacite de l'equipe et rationaliser les operations quotidiennes
  • Effectuer diverses analyses pour aider l'equipe des operations a prioriser et a mettre en oeuvre des ameliorations
  • Administration financiere (rapprochements, projets, evenements et depenses)
Qualifications
  • Doit etre parfaitement bilingue en francais et en anglais car il y aura des interactions a l'echelle nationale a travers le Canada.
  • Une experience anterieure de travail dans un cabinet dentaire est un atout
  • Etudes postsecondaires (diplome collegial ou universitaire de preference)
  • Au moins 2 a 3 ans d'experience en coordination de projets, administration d'equipe et planification d'evenements.
  • Capacite averee a diriger des initiatives de maniere autonome du debut a la fin, en obtenant des resultats positifs avec un minimum de supervision.
  • Capacite a gerer simultanement des taches/projets et a s'adapter a l'evolution des priorites.
  • Capacite a gerer des taches/projets simultanement et a faire face a des priorites changeantes
  • Solides competences en communication, tant verbale qu'ecrite, avec une experience en traduction comme un atout.
  • Tres soucieux du detail et organise, qui aime construire une structure et des processus.
  • Demontre de solides competences en resolution de problemes et un bon jugement
  • Solides competences organisationnelles et capacite a faire preuve de flexibilite et a s'adapter a l'evolution des priorites.
  • Capable d'etablir et d'entretenir de solides relations de travail avec les parties prenantes internes et externes
  • Connaissance pratique avancee des applications MS Office, a savoir Outlook, Teams, Word, Excel et PowerPoint.
  • Connaissance du logiciel Smartsheet est un atout

You will initially work from your home office in the Montreal region and then in person out of our Montreal office. You will be working primarily with the Quebec Operations Team. In collaboration with the Operations Specialist, and PMO you will be responsible for coordinating and supporting key Operations team meetings such as the monthly Practice Managers Calls, Weekly, Monthly, and Quarterly Business Reviews, and Regional Meetings. As the Coordinator, you will also organize and maintain various information files for the team including, Practice action Plans, and other activities that keep the team organized and efficient. The coordinator will also provide support to the entire Operations Team with the primary focus being support for our Quebec team and practices. Reporting to the Sr. Director of Process Optimization, Strategy & PMO the position contributes to the coordination of various operations related programs.
Responsibilities
  • Proactively support the Operations team with effective tools, management of data, practice lists, record keeping, tracking, and reporting on monthly metrics to assess the ongoing effectiveness of various initiatives
  • Lead various Operations projects in collaboration with cross-functional teams
  • Improve processes when needed through analysis and creative thinking
  • Assist with the implementation and management of Operations support tools and materials.
  • Compile, write, edit, translate and proofread technical content and communications from a team of various subject matter experts and transform it into clear and impactful insights to support business objectives.
  • Take initiative by effectively organizing various Operations Meetings including presentation creation/consolidation, venue selection, logistics, communications, etc.
  • Organize large, regional events (50+) in collaboration with the Operations leadership team. Support both the Quebec and broader Operations team, with meetings, webinars, etc. including invites, preparation of supporting documents, publishing of recaps, takeaways, etc.
  • Administrative support for the Quebec Team as needed
  • Create and review reports to monitor and boost team efficiency and streamline daily operations
  • Perform various analysis to assist the operations team in prioritizing and implementing improvements
  • Financial administration (reconciliations, projects, events & expenses)
What we're looking for
  • Must be fluently Bilingual in both French and English as there will be National Interactions with different stakeholders across Canada.
  • Previous experience working in a dental practice is an asset
  • Post-secondary education (College diploma or University degree preferred)
  • Minimum 2 to 3 years of project coordination, team administration, and event planning
  • Proven ability to independently lead initiatives from start to finish, driving successful outcomes with minimal oversight.
  • Ability to manage tasks/projects simultaneously and deal with changing priorities
  • Strong leadership skills in navigating and delivering results through ambiguity, adapting quickly to evolving priorities.
  • Solid communication skills, both verbal and written with experience translating as an asset
  • Highly detail oriented and organized who enjoys building structure and process
  • Demonstrates strong problem-solving skills and good judgment
  • Strong organizational skills and the ability to be flexible and adjust to changing priorities
  • Able to build and maintain strong working relationships with internal and external stakeholders
  • Advanced working knowledge of MS Office applications i.e. Outlook, Teams, Word, Excel and PowerPoint
  • Knowledge of Smartsheet software is an asset
