Position Summary

Reporting to the Senior Manager, Academic Services and Business Operations, the Senior Support Services Officer is responsible for the smooth implementation of a wide variety of administrative functions, using detailed knowledge of the department\xe2\x80\x99s processes and Seneca\xe2\x80\x99s policies. The incumbent will work collaboratively to provide general support to the department, provides customer service to Seneca\xe2\x80\x99s staff, students and other stakeholders pertaining to departmental services.

Responsibilities

  • Performs frontline on-campus services in support of the Faculty of Applied Arts and Health Sciences (FAAHS) students, faculty and staff
  • Responds promptly and professionally to student and faculty inquiries made in person, by phone, and e-mail, redirecting to the appropriate person any that cannot be directly answered
  • Performs office duties, including assessing and processing of documents
  • Assists with beginning and end-of-term activities
  • Uses appropriate Student Information Systems to gather information to answer inquiries concerning class schedules, room schedules and student/faculty/room timetables
  • Investigates and resolves student and system situations, or refers them to the Chair/Senior Manager
  • Assists faculty with printing requests and other clerical duties as needed
  • Maintains inventory of office supplies by advising the Senior Manager, Academic Services, when it is time to re-order, then puts the received orders away
  • Occasionally gathers and compiles data for the Senior Manager and/or Chairs
  • Assists with other general clerical/office duties as needed
  • Liaises with campus services/departments (Registration, Bookstore, OneCard, ITS, Aramark, Shipping and Receiving, Security, etc.) to ensure the smooth running of the department
Qualifications

Education
  • Minimum two (2) year College Certificate in Office Administration, or a related field. If education is in a related field of study, state how education is related.
Experience
  • Minimum two (2) year of experience within an educational, administrative, and/or community setting, working in a fast-paced, high-volume, customer service environment
Skills
  • Excellent customer service, communication (verbal and written), and interpersonal skills are required, with the ability to interact effectively, with tact and diplomacy, with the Seneca\xe2\x80\x99s diverse staff, students and the public
  • Effective organizational, planning, and time management skills, with attention to detail and the ability to work quickly and to prioritize multiple tasks
  • Well-developed critical thinking, problem-solving and conflict resolution skills
  • Excellent clerical skills; experience in formatting, proofreading, and editing various documents
  • A self-starter with the ability to work creatively, collaboratively, and effectively both independently and as a team member
  • Demonstrated competency using online information/database/electronic file management systems, Adobe, and Microsoft Office software (specifically Outlook, Word, Excel, PowerPoint, SharePoint and Teams), in a professional environment
  • Experience with i3/PeopleSoft/Blackboard is an asset
  • Knowledge of Seneca\xe2\x80\x99s departments, policies and procedures is an asset
