Position Summary



The Senior Specialist provides executive-level support to the Executive Director, CEO – COO and to the CEO. The position provides direct communications support and issues management on a variety of strategic projects and organization-wide policy initiatives. As a health and wellness organization, the First Nations Health Authority has aligned with the Provincial Public Health Order released on October 14, 2021. We have a mandatory COVID-19 vaccination policy for all employees at First Nations Health Authority. This policy requires all employees to be fully vaccinated against COVID-19. If selected for employment, you will be required to provide proof of vaccination by providing a copy of your BC Vaccination Card Passport with the QR code.

Responsibilities



  • Works closely with the ED, CEO – COO to ensure the appropriate briefings and analysis are prepared for the Office of the CEO’s, internal and external work and meetings, including the development, review and analysis of agendas, briefing notes on key issues, presentations, reports, publications, etc.
  • Organizes briefing notes and correspondence to support the ED, CEO – COO.
  • Supports evaluation processes, including analysis and summary report preparation.
  • Under the direction of the ED, CEO - COO, develops meeting agendas, policies, governance manual, Terms of References, board evaluations, and request for proposals and other governance tools and documents.
  • Acts as the point of contact to coordinate and oversee projects and the work of people in other departments that contribute toward achieving the priorities established for the Office of the CEO.
  • Identifies and monitors issues, analyzes developments, conducts internal and external research, and prepares briefing notes/reports and recommendations, as required.
  • Plans, organizes, develops, monitors and tracks work plans, and/or accountabilities including those in the Members and Directors Reciprocal Accountability Framework, FNHC MOU and FNHA MOU.
  • Supports the ED, CEO - COO in people management responsibilities such as recruitment, wellness, learning & development, planning, coaching, and mentoring, performance evaluation and discipline.
  • Prepares or oversees preparation of presentations, including the delivery of presentations to diverse audiences.
  • Implements and monitors documentation management, including both soft and hard copies, FNHA internal calendar and email management.

Qualifications



Education:
  • Bachelor’s degree in Business/Office Administration and or an equivalent combination of education, training, and experience (experience usually acquired over a period of 5-7 years).
Experience:
  • Minimum 5-7 years’ experience working with and supporting Senior and Executive level management.
  • In-depth experience working with BC First Nations communities and familiarity with traditional and cultural protocols and practices.
  • Experience supporting or working with a Board, Committees and Corporate Governance.
  • Demonstrated ability to exercise discretion and judgement in work planning and coordination within a dynamic work environment with multiple demands.
  • Demonstrated information, records and data management skills and abilities.
  • Experience handling sensitive and confidential information and matters in a trusted and responsible manner.

Knowledge, Skills & Attributes



Knowledge:
  • Advanced knowledge of MS office – Word, PowerPoint, Outlook, Excel, and Access.
  • Knowledge of SharePoint and Board portals an asset.
  • Knowledge of administrative services and Member and Board processes and governance.
  • Knowledge of minute taking and documentation of key discussions, decisions, and actions.
  • Knowledge of general principles and practices regarding document and file management, including tracking approaches and systems, confidentiality, and security.
Skills & Attributes:
  • Demonstrates a high degree of professionalism, initiative, and independence, as well as an ability to work under pressure of interruptions and adapt to changes in supporting the FNHA Members and Board and meeting deadlines.
  • Ability to track and follow-up on various action items and ensure completion of the assignment / task in a timely manner.
  • Demonstrated ability to multi-task, set priorities effectively and problem solve, including early identification of issues/problems that may arise.
  • Ability to be flexible and adaptable in a fast-paced changing environment.
