JOB SUMMARY





The Senior Sales Administrator plays a crucial role in a company's sales department, ensuring the smooth functioning of the day-to-day operations. The primary responsibilities of this role include managing sales data and records, coordinating with different departments, tracking and analyzing sales metrics and data, supporting the quotation and proposal process, and providing higher level administrative support to the larger sales team and sales leadership team.


DUTIES & RESPONSIBILITIES:




Support the Sales Leadership Team and the Sales department: Organize weekly Sales Meetings working with meeting facilitator to prepare and distribute Agenda in advance of meeting Provide NetSuite reporting requirements within capabilities, reaching out to NetSuite Administrator for more complex needs Introducing new hires within Sales department to NetSuite providing a basic overview of its general functionality and global search capabilities Mine APC, Canada Buys, and Merx at least twice a week for postings matching provided search criteria and email for review as appropriate. Review other sites as time permits. Maintain profiles and memberships to RFx postings sights Support the greater team with requests for high-level support or projects Take and compile sales meeting minutes Alongside marketing, assisting with the coordination of sales events and client functions Ad-hoc requests as they arise

Manufacturer Portal and Program Support




Assist with new employee setup for access Kenwood site

Portal Admin for Motorola including:


New user profile creation Mentoring, support, case creation LXP training support including course registration and managing renewals for Sales certifications

Manage Co-Op Programs for Motorola and Kenwood




Check websites regularly for program guideline updates Manage funds by tracking accruals, claims, and maintaining a budget Make recommendations of utilization based on program guidelines Alert Chief Growth Officer and Marketing Coordinator when funds are about to roll-off

General Support




Proactive in identifying sales department workflow issues and areas of improvement, bringing them to leadership's attention for resolution and correction to enhance the internal and external customer experience Support a strong team culture by offering exceptional customer service to your internal and external customers Respond in a clear, simple, and professional manner to internal and external stakeholders, using appropriate communication modes (in-person, phone, email, text, NetSuite, Teams) Apply good judgment, discretion and diplomacy in all interactions, especially matters that may be sensitive or confidential Seeking to improve existing or create new processes and best practices Initiative and ability to anticipate needs and provide solutions/options, particularly when confronted with ambiguity and a high degree of change General administration and sales support duties as required Other duties as assigned

QUALIFICATIONS:




Minimum of 5+years experience supporting a sales function Diploma from recognized post-secondary institution in language, communications, marketing, business or engineering, or equivalent experience Previous experience in an office administration function supporting senior leadership team members Advanced working knowledge of Microsoft (MS) Outlook, Word, Excel & PowerPoint, and ability and willingness to learn new technologies and tools

WORKING CONDITIONS AND PHYSICAL ENVIRONMENT:





The Senior Sales Administrator will work in an office environment and may be required to work hours that are outside standard business operating hours for project or deadline work.
