Senior Office Administrator
to provide dependable support in both front-office and financial administration. The ideal candidate will have strong communication skills, the ability to multitask, and a solid understanding of accounts receivable and payable processes. This role requires someone who thrives in a fast-paced, dynamic environment while maintaining confidentiality and professionalism. The position combines customer-facing responsibilities with core financial and administrative duties, ensuring smooth day-to-day operations for our plant and office.
Responsibilities
Greet and assist guests visiting the office, ensuring a welcoming and professional environment
Answer phones, manage correspondence, and a maintain a professional reception area
Support office operations, including ordering supplies and maintaining vendor relationships
Oversight of customer invoicing, ensuring accurate and timely customer invoices
Track receivables and follow up on outstanding balances, working closely with the sales team
Process EFTs, cheques, wire transfers, and ensure banking transactions are accurate and on schedule
Monitor daily cash position and provide liquidity reporting
Set up new customer and vendor accounts; complete credit applications and review creditworthiness
Enter and update financial data into QuickBooks accounting software
Administer company credit cards for senior leadership & monthly reconciliation and payments
Prepare and process invoices, expense reports, and purchase orders
Maintain accurate and organized financial records and documentation (paper & digital records)
Support monthly, quarterly, and annual financial reporting processes
Address vendor and client inquiries related to payments and billing
Update and maintain the customer and vendor database to ensure accurate records
Provide reliable support to senior leadership as required
Maintain professionalism and strict confidentiality with all company information
Required skills and qualifications
High school diploma or equivalent; associate's or bachelor's degree in accounting, or related field preferred
5+ years of experience in office administration, finance, or accounting
Excellent written and verbal communication skills in English
Familiarity with wire transfers, EFTs, and banking processes
QuickBooks experience required
Excellent time-management skills with an ability to stay organized and prioritize tasks
Proficiency with office productivity tools (MS Office, Excel etc.) and an aptitude for learning new software and systems
Flexible, adaptable team player who can handle challenges and changes in a dynamic environment
Ability to maintain confidentiality of information related to the company and its employees
Reliable, patient, and professional in all interactions

Pay: $60,000.00-$68,500.00 per year
