Senior Administrator
to oversee
day-to-day administrative operations
while maintaining direct responsibility for
invoicing and purchasing execution
.
This is a
hands-on leadership role
central to office performance, financial controls, and operational coordination.
Primary Responsibilities
Office Operations & Administrative Leadership
Oversee daily administrative operations to ensure an efficient, organized, and professional office environment
Provide guidance and oversight to administrative staff to balance workload and maintain high-quality output
Develop, implement, and maintain administrative procedures, forms, and systems to streamline workflows
Documentation & Reporting
Prepare, review, and maintain contracts, rental agreements, purchase orders, safety documentation, and service reports
Manage accurate digital and physical filing systems
Assist with internal reports, operational summaries, and management documentation
Customer & Vendor Coordination
Act as a primary point of contact for customer inquiries, scheduling, and service coordination
Support rental operations through booking coordination, follow-ups, and documentation
Communicate professionally with vendors, suppliers, and service providers
Scheduling & Logistics Support
Support equipment scheduling, technician dispatch, and logistics planning
Track equipment status, maintenance timelines, and returns with operations staff
Financial & Administrative Controls
Execute and oversee
invoicing and purchasing
across departments
Assist with job costing, expense tracking, and accounting support
Monitor subscriptions, vendor billing, and administrative budgets
Match POs, receiving, and vendor invoices
Compliance & Health / Safety Administration
Maintain training, safety, and certification records
Support onboarding, training coordination, and policy compliance
Project & Management Support
Provide executive administrative support to management (meetings, minutes, action tracking)
Assist with internal initiatives, process improvements, and special projects
Qualifications
4+ years in senior administration, office management, or operations roles
Strong experience with invoicing, purchasing, and documentation control
High proficiency with Excel / Google Sheets and office systems
Excellent communication and organization skills
Strong attention to detail and ability to manage competing priorities
Ability to work confidently in a fast-paced, deadline-driven environment
Preferred
Experience in rentals, service, logistics, or industrial operations
ERP / CRM or inventory system experience
Electrical, construction, or technical services background
