ROLES AND RESPONSIBLITIES



Workflow System and Process



Maintain client database including additions and changes inside the different software. Schedule work to meet our clients' needs and achieve efficient resource management. Plan out our processes within the software to ensure we follow a process that works for the team. Monitor budgets during preparation Logging each job on the electronic and visual workflow system

Client Project Success



Follow up with clients to ensure we have the required information to start their project Communicate with clients on project dates, requirements and status as needed Processing client tax-office correspondence, including forwarding/filing/follow-up as required Monitoring tax due dates and advising clients of such Prepare client project maps for all clients

Fulfillment Team Success



Keep the team informed on upcoming deadlines and due dates Help by contacting clients for missing information Reviewing and checking clients' documents Assign work according to capability, capacity in order to achieve efficiency now and in the future Helping the team as needed Workflow software training

Software and Tools



Karbon - own this DocIt - make this work for the team GoProposal - what we sold gets done Keep the team updated with software improvements to ensure we are using as much functionality as possible Build reporting as required from the software

Client Administration



Filing paper or electronic documents Printing and binding of finalized documents Invoicing clients as required Client Administration

QUALIFICATION - ESSENTIAL



Project management experience Communication - verbal and written Adapt to new technology and software Ability to embrace change Bookkeeping experience Reasonable knowledge and understanding of a professional office environment Problem solving ability and acumen

QUALIFICATIONS - DESIRABLE



Experience working with, or exposure to, accounting and tax software such as CaseWare, QBO, Dext, TaxCycle, Karbon, DocIt. Previous experience in customer service/client services Previous experience in an accounting role is an asset

HOW WILL YOU BE EVALUATED



This function will be evaluated at a performance level using weekly and periodic metrics specific to your 5 roles as part of our Firm scorecard model. Those metrics will evolve over time and may include: one on one conversations, performance reviews, and weekly scorecard review.
