Scope



The Senior Accounts Payable Specialist will oversee the accounts payable function from end to end. This individual will be responsible for ensuring accuracy, timeliness, and compliance in all vendor payments, while supporting month-end and year-end close processes. The Senior Accounts Payable Specialist reports to the Director of Finance.

Responsibilities



Manage full-cycle accounts payable, including invoice entry, approval routing, payment processing, and reconciliation; Ensure accuracy, timeliness, and compliance with company policies and accounting standards; Ensure expenses and taxes are correctly accounted and/or allocated to respective lines of business or projects; Verify vendor accounts by reconciling statements and related transactions; Collaborate with vendors and internal teams to resolve discrepancies and maintain positive relationships; Assist in streamlining and improving AP processes for efficiency; Maintain historical records of all invoices, reports, receipts, and cheques by saving documents properly on the network; Complete payments by cheque or online bill payment, EFT, ACH & wire transfer; Execute credit card and assist in bank account reconciliations; Support month-end and year-end close, including accruals and reconciliations; Generate reports and provide analysis using Microsoft Dynamics (currently Quickbooks), and Excel; Prepare and submit monthly, quarterly, and annual reports, forms, and statistics to Canadian, USA & Foreign government agencies and airport authorities; Provide mentorship and guidance to junior staff, where applicable; Maintain up-to-date contracts and operational policies/procedures; Assist other departments with equipment or product purchases, tracking assets and accounts for acquisition; Generate purchase orders when necessary; Assist senior financial officers as needed.

Requirements



Minimum of 5 years of experience in accounts payable or a similar role; Strong working knowledge Microsoft Dynamics (currently using Quickbooks); Proficiency in Microsoft Excel and the full Microsoft Office Suite; Exceptional attention to detail, accuracy, and organizational skills; Strong communication and problem-solving abilities; Aviation or airline industry experience is an asset; High degree of discretion when dealing with confidential information; Ability to meet deadlines, work under pressure and prioritize multiple projects; Thrive in a fast-moving environment, with a high tolerance for change; Motivated team player who can work in an autonomous and team setting; Frequent sitting, computer monitor and keyboard use for extended periods of time.
Job Types: Full-time, Permanent

Pay: $60,000.00-$70,000.00 per year
