Job Description


Provides confidential secretarial, clerical, financial assistance, and administrative assistance to the Chair of the Department of Molecular Biology and Biochemistry (MBB), supervisor and departmental committees. Responds to requests for information on behalf of the Chair; composes, proofreads, edits, and distributes general and confidential correspondence (i.e., letters, memos, forms, reports). Maintains accurate departmental records (i.e., database, spreadsheet, committee meeting minutes, etc.); maintains the Chair\'s calendar; responds to routine and general problems. Acts as a resource person for the department by maintaining and updating the MBB website, related web pages, and social media channels with information, announcements, and opportunities. Assists in the preparation and processing of journal vouchers, budget transfers and research appointments, ensures submissions meet University regulations, and reviews travel and business expense claims.

Qualifications:

High school graduation and one year of post-secondary education with formal training in bookkeeping/accounting, word processing, spreadsheet and database applications, and office and secretarial practices. 3 years of experience. An equivalent combination of formal education, certificate/program of study ad experience is acceptable.

  • Excellent knowledge of bookkeeping and accounting principles.
  • Good knowledge of record keeping and filing procedures.
  • Good knowledge of standard office practices, methods, and equipment.
  • Good knowledge of University programs, policies, and procedures.
  • Good knowledge of social media applications (Facebook, Twitter, Instagram, and LinkedIn).
  • Good knowledge of web development, desktop publishing, multimedia, web scripting, and blog publishing applications (e.g., AEM, HTML, CSS, Illustrator).
  • 60 wpm keyboarding skills with a high degree of accuracy.
  • Excellent interpersonal, oral, and written communication skills.
  • Excellent organizational skills including the ability to prioritize work.
  • Excellent attention to detail, analytical reasoning, and problem-solving skills.
  • Ability to use standard spreadsheet, database, word processing, electronic mail, financial information, and web applications (e.g. Excel, FileMaker Pro, Word, Adobe Acrobat, SFU Connect, PeopleSoft, SIMS, FAST, FINS) at an intermediate level.
  • Ability to use web editing application (e.g. AEM) at an intermediate level.
  • Ability to take and transcribe minutes.
  • Ability to perform arithmetic calculations up to and including percentages with a high degree of accuracy.
  • Ability to work accurately with figures.
  • Ability to follow oral and written instructions accurately.
  • Ability to multi-task with frequent interruptions and/or multiple deadlines.
  • Ability to exercise mature judgment and initiative and work independently.
  • Ability to handle confidential/sensitive material with discretion.
