Job Description

Provides confidential secretarial, administrative, and research support to the Dean of Graduate Studies (DGS) and the Associate Dean, Students. Maintains daily appointment calendars for the Dean and Associate Dean, Students; screens calls; arranges routine and sensitive committee and administrative meetings by booking rooms and arranging catering; provides administrative and secretarial support to various committees under the auspices of the Dean and the Associate Dean, Students; and provides follow-up action as required.. Serves as policy advisor; makes travel arrangements; word processes confidential and general correspondence; coordinates special events or functions; and responds to requests for information. Researches and compiles information in support of meetings or projects of the Dean, or Associate Dean, Students for executive action. Drafts documents from general verbal instructions.

Qualifications:

High school graduation and one year of post-secondary education including training in word processing, database, and spreadsheet applications; and in secretarial practices. 5 years experience. An equivalent combination of formal education, certificate/program of study and experience is acceptable.

  • 70 w.p.m. keyboarding with a high degree of accuracy.
  • Excellent knowledge of office procedures and secretarial practices.
  • Good knowledge of University regulations, policies, and procedures.
  • Excellent organizational, analytical reasoning, and problem solving skills.
  • Excellent interpersonal skills.
  • Excellent communication (oral and written) skills.
  • Excellent attention to detail.
  • Ability to use word processing, database, and spreadsheet, applications (i.e., Word, FileMaker, Excel) at an intermediate level.
  • Ability to use PDF, calendar, and web content editing applications (i.e., Adobe Acrobat Pro, SFU Connect, CQ5, CSS, HTML).
  • Ability to use online student information systems (i.e., SIMS) at an intermediate level.
  • Ability to record and transcribe meeting minutes with a high degree of accuracy.
  • Ability to use online help desk systems (i.e., Kayako).
  • Ability to work independently and meet deadlines.
  • Ability to compose correspondence.
  • Proven ability to work collaboratively as a team member.
  • Ability to maintain confidentiality, and exercise discretionary judgment.
  • Ability to conduct research using a web browser (i.e., Internet Explorer).
  • Ability to perform arithmetic calculations with a high degree of accuracy.
