The

Scheduling & Payroll Specialist

is responsible for scheduling of all union positions and for completing timely and accurate bi-weekly payroll. The role is primarily focused on short-term response to staffing needs that when properly tracked and recorded, compiles accurate hours for the timely processing of payroll and related reports. The position works in close conjunction with the HR & Benefits Coordinator who is responsible for resourcing needs and together, these positions work to deliver the HR/People requirements for the home.

Key Responsibilities:



Scheduling:



Maintains the computerized Scheduling Program accurately and in an efficient and timely manner. Ensures that staffing levels meet the approved schedule for the home and in compliance with standards and procedures. Some of the daily duties include:

Promptly handles all scheduling calls during regular business hours, and fills shift absences in compliance with procedures and/or the relevant Collective Agreement. Prepares and provides the daily assignment record as basis for the planned resource coverage in the home. Reviews and processes vacation, leave of absence (LOA) requests and/or approved shift swap requests to ensure in line with operational needs and per the Collective Agreement rules. Reports gaps and/or worker shortages promptly to the HR & Benefits Coordinator for resourcing purposes to ensure adequate hiring and/or temporary agency placement is available. Reviews future schedule needs Updates and maintains the call out lists including contact information and availability.

Payroll Processing



Performs daily reconciliation of planned/scheduled hours to actual worked hours through the time & attendance system. Ensure accurate calculation of wages, tax withholdings, and deductions including benefit contributions, Union Dues and MPP/Pension/RRSP's as required. Provides end-to-end payroll processing for bi-weekly payroll in alignment with the Collective Agreement and Employment Standards. Prepares timely reports of payroll-related remittances and information submissions including Employer Health Tax, MPP, WCB, etc. Completes the necessary payroll information quarterly payroll reports required for WorkSafe BC. Responds to all payroll-related enquiries on a timely basis. Maintains all payroll related files and keeps them secure. Processes Record of Employments (ROEs) as necessary. Performs payroll yearend procedures, including T4 generation and distribution.

General



Maintains an expert knowledge of relevant Collective Agreements, BC Employment Standards, Revenue Canada regulations and guidelines as it relates to payroll processing, and any other legislation or regulations. Attends and contributes in management meetings including regular Leadership meetings, as needed, keeping abreast of any issues regarding scheduling and payroll. Other duties, as assigned.

. In addition, your interests, skills and education include:

Minimum of 2 years of Union payroll experience required. Prefer National Payroll Institute - (NPI) PCP Designation certification. Experience with ADP Payroll software is an asset. Minimum of 2 years of Union scheduling experience preferred. Experience with Synerion Scheduling (or an electronic scheduling tool) is an asset. Prefer prior experience in healthcare. Post-secondary education (degree or diploma) in Business Management or HR is an asset. M365 intermediate level knowledge and ability to work in a remote environment using Teams. High level of accuracy and detail oriented. Thrives under pressure and is result-oriented. Analytical, flexible and focused on problem-solving. Strong organizational and time management skills. Ability to communicate effectively in the English language (both orally and written). Able to maintain good interpersonal relations by displaying tact, courtesy and patience Self-motivated and can work independently, with minimal supervision, and as part of a team. Able to sit or stand (if standing desk used) for long periods due to the static nature of this work

Job Type: Full-time

Pay: $75,000.00-$78,000.00 per year
