SAP Order Entry & Customer Service Specialist




The SAP Order Entry & Customer Service Specialist plays a critical role in ensuring seamless order execution from entry through to delivery and invoicing. This position acts as the first line of contact for customer orders, owning the end-to-end process in SAP. The ideal candidate will bring a customer-first mindset, in-depth SAP order management expertise, and a passion for continuous improvement within a fast-paced food CPG environment.

Key Responsibilities



SAP Order Management & Execution



Enter, process, and manage customer orders in SAP (S/4HANA) with a high degree of accuracy and efficiency. Utilize SAP's aATP, allocation, and backorder processing tools to manage inventory effectively and maximize order fulfillment. Proactively monitor open orders to ensure timely fulfillment and invoicing, addressing discrepancies in real-time. Validate customer pricing, promotions, and product eligibility using SAP master data and condition records. Create and manage outbound deliveries, shipment notifications, and billing documents directly in SAP. Support order lifecycle tasks, including blocked orders, missing data resolution, and credit holds.

Customer & Cross-Functional Coordination



Serve as a key point of contact for Replenishment Analysts, Buyers, and Key Account Managers to communicate order status, resolve exceptions, and provide proactive updates. Coordinate with Production Planning, Warehouse, and Logistics to align shipping schedules with customer requirements and production constraints. Troubleshoot and resolve EDI errors related to order intake, ASN transmission, and invoicing in coordination with IT and third-party providers. Prepare and distribute necessary outbound documents (e.g., BOLs, packing slips) using SAP integrated tools.

Customer-Centric Order Execution



Maintain a deep understanding of each customer's ordering and logistics requirements, including lead times, delivery windows, and carrier preferences. Manage returns, credit/debit memos, and replacement orders in SAP, ensuring root cause analysis and prevention measures. Create and present weekly customer scorecards, measuring Case Fill Rate (CFR), On-Time Delivery (OTD), and deduction trends.

Process Optimization & Team Collaboration



Continuously seek process improvement opportunities, offering SAP-related enhancements and automation ideas. Contribute to SOP documentation and team training efforts for standardized SAP order management practices. Support departmental projects and seasonal surges with flexibility and a team-first attitude. Foster a collaborative, respectful, and light-hearted work environment.

What You'll Bring



Minimum

3-4 years of experience

in customer service and SAP order entry in a CPG or food manufacturing environment

SAP S/4HANA

experience required, especially in SD (Sales & Distribution) module Familiarity with EDI processes and troubleshooting tools Proficient in

Microsoft Excel, Outlook

, and other Office tools Strong understanding of

order-to-cash

, inventory allocation, and logistics workflows in a food-grade operation
