Reporting to the Regional Vice President (Eastern Canada) and Treasury Operations, the Sales & Office Administrator is at the heart of keeping our office running like a well-oiled machine while providing top-notch administrative support to the Sales team. This role ensures everything from office operations and IT coordination to procurement and supplies runs smoothly, all while helping organize internal events, campaigns, and initiatives. At the same time, you'll support the Sales team in managing client documentation, maintaining CRM records, generating reports, and coordinating processes that drive both productivity and client satisfaction.

KEEP OUR OFFICE RUNNING - IT'S WHAT YOU'LL DO

Office & Facilities Management


+ Welcome and assist visitors, clients, and guests, creating a positive first impression.
+ Oversee daily office operations, including meeting rooms, common areas, and IT coordination.
+ Manage procurement, vendor relationships, and ensure compliance with safety and security standards.

Sales Administration & Support


+ Maintain CRM records, prepare quotes/contracts, track key sales metrics, and manage dashboards.
+ Schedule meetings, demos, and follow-ups while supporting onboarding for new sales hires.
+ Liaise with Marketing, Finance, and Operations to align on sales activities and campaigns.

Internal Coordination & Event Management


+ Organize internal events, employee engagement activities, and company campaigns.
+ Support logistics and communication for meetings, training sessions, and community events.

Collaboration & Cross-Functional Support


+ Work with Sales, HR, IT, Finance, and Facilities to ensure smooth operations.
+ Identify opportunities to improve processes, provide proactive support, and contribute to a positive team culture.

WHAT YOU'LL NEED TO SUCCEED


+ 3-5+ years of experience in office administration, sales support, or similar operational roles, someone who can take initiative and keep things running smoothly.
+ Strong proficiency in Microsoft Office Suite and hands-on experience with CRM systems (e.g., Salesforce, HubSpot) to keep data accurate and processes efficient.
+ Exceptional organizational, time management, and multitasking skills, with a keen eye for detail that ensures nothing slips through the cracks.
+ Excellent communication and interpersonal skills, paired with problem-solving abilities to navigate challenges with ease.
+ Comfort working both independently and collaboratively in a fast-paced environment, thriving on variety and the opportunity to make an impact.
