SUMMARY:



The Residence Inn Calgary Downtown/Beltline District,

is currently seeking a motivated individual based out of the Residence Inn by Marriott Calgary Downtown. Reporting to the Director of Sales, the Sales & Marketing Coordinator has a combination of sales experience, along with solid administrative skills, is engaging, energetic and innovative. This individual should enjoy working in a multi-tasking, results-driven environment.

The Sales & Marketing Co-ordinator duties will include, but not be limited to the following:

Support direct sales effort through administration of sales contracts, client correspondence in a timely manner. Manage RFP communication process with sales, revenue management, reservations, and clients. Assemble and update monthly account data from area hotels, monthly production reporting, national monthly reporting, CPSA monthly reporting, Government monthly reporting, master LNR/RFP rate sheet and password sheet. Prepare and distribute weekly sales report through CRM- Sales Force. Assist in planning and execution of client events, sales blitz's, collateral as required. Research, recommend and order corporate gifts. Oversee and maintain the Sales Department's filing system and Salesforce data base. Answer calls, qualify leads, respond to customer inquiries and manage client feedback process. Support Director of Sales and Sales Managers in obtaining contract confirmation/signatures/methods of payment and issue status reports to appropriate departments when required. Participate in regular sales strategy sessions by providing input, taking minutes, updating and distributing action plans. Maintain and adhere to booking guidelines. Work closely with the Front Desk, Reservations, Housekeeping Manager, Food and Beverage team and other required departments to completely satisfy the requirements of the booking parties. Respond quickly to client requests in a friendly manner. Follows up to ensure guest satisfaction. Place supply orders and maintain inventory of letterhead, envelopes, conference folders and meeting capacity charts and other sales support material as required. Prepare welcome gifts and sales packages. Support marketing efforts and correspondence in a timely manner. Promote awareness of brand image internally and externally. Manage social media channels for hotel with regular updates and maintained social media calendar. Establish community relationships to grow social media engagement. Assist with the hotels' LinkedIn accounts. Design and create various hotel promotional materials. Ensure hotel website is accurate and up to date, delivering any changes in a timely manner to the website team. Provide regular and ongoing updates to the team of activities and upcoming events. Maintain product knowledge of the hotels and update the sales team accordingly. Organize photo, video, and marketing collateral. Update the market strategy plan on an ongoing basis based on hotels' sales initiatives. Support any marketing and promotional needs of the sales team as needed. This includes creating any in-house materials, such as elevator signs and approving social media material. Support the Corporate Office Lead in overseeing requirements for hotel photoshoots. Design posters and ads as required. Maintain and adhere to marketing guidelines across all brands. Adhere to company policies and procedures. Participate in applicable brand training programs. Follow all company safety and security policies and procedures; report accidents, injuries, and unsafe work conditions to manager. Complete safety training and certifications. Provide support per the Emergency Response Plan as directed. Project an enthusiastic, optimistic, helpful attitude. Assist with various assignments and/or projects as assigned by management company. Other duties as required.

QUALIFICATIONS:



2 years or more experience within the hospitality industry (sales preferred)

Strong customer service, organization, initiative, problem-solving skills

Able to work independently and as part of a team

Demonstrates self-confidence, energy, and enthusiasm

Possesses high personal integrity, manages time well

Computer literacy: Word, Excel, Outlook, Powerpoint, internet, email, and knowledge of graphic design required)

Familiarity with Salesforce/Delphi an asset

Post- secondary education in sales or equivalent

Previous marketing experience, with at least 2 years, in a similar setting preferred.

Familiarity with social media channels & management platforms.

Diploma/degree in a related field an asset.

Exceptional interpersonal skills, both written and verbal is essential, with the ability to build relationships and rapport seamlessly.

Proven ability to problem-solve.

Ability to work well under pressure while handling short lead times when necessary.

High attention to detail to ensure accuracy at all times.

Excellent organizational, follow-through and workload planning skills with the ability to juggle multiple priorities.

Possesses high personal integrity and discretion.

Demonstrates a commitment to superior customer service.

Must be able to maintain confidentiality of proprietary information and protect company assets
