highly organized and detail-oriented Safety & Compliance Coordinator

Key Responsibilities (Including but Not Limited to):
Daily Duties:
Monitor and review
driver ELD logbooks
for violations, uncertified logs, unidentified driving, and other discrepancies.
Address violations directly with drivers via email (copy Safety Manager).
Conduct
camera footage reviews
for compliance and incident follow-up.
Support
conflict resolution
regarding log or camera disputes.
Weekly Duties:
Perform
random ELD audits
: match border crossings and fuel receipts for 10 different drivers each month.
Review
CVOR and SMS
data for trends or red flags.
Monthly Duties:
Submit a comprehensive
Monthly Safety Report
to the Safety Manager (by the last day of each month).
Review and report on the
Missing Miles report
.
Driver Compliance Management:
Track and follow up on all
driver credential renewals
:
Licenses
Medicals
TDG (Transportation of Dangerous Goods) certifications
Work permits
FAST cards
Manage complete
driver onboarding
:
Assign and track hiring packages
Conduct driver file audits and ensure all documentation is complete
Register drivers in the
Drug & Alcohol Clearinghouse
Collect driver photos for gate FOBs
Coordinate with accounting for PSP/PCP payments
Register new hires for
disability insurance
Vehicle Compliance & Maintenance:
Track and follow up on:
Annual truck and trailer inspections
Preventive maintenance schedules
(liaison with maintenance personnel)
Documentation from
roadside inspections or scale repairs
Maintain updated
fleet and equipment files
.
Administrative & Compliance Duties:
Manage
DTOPS additions/deletions
.
Assist with
IRP plating
: form submissions, documentation, and truck binder creation.
File and manage documents related to:
IFTA
California Alcohol/Tobacco
Texas Alcohol/Tobacco
Assist in
ticket management
:
Contact and coordinate with appropriate paralegals/lawyers
Upload tickets and track progress
Additional Responsibilities:
Coordinate
drug and alcohol testing
for new hires and post-incident testing.
Organize
warning letters
, drive tests, and arrange safety refreshers.
Collect and file
accident reports
, create incident files.
Maintain and update all data in
Fleet Manager
software.
Ensure
truck binders
are always complete and up to date.
Requirements:
Previous experience in a
Safety or Compliance
role within the
transportation/logistics industry
.
Excellent communication skills - both verbal and written.
Strong organizational skills with attention to detail.
Proficient in Microsoft Office (Excel, Word) and industry-specific platforms (Fleet Manager, ELD systems).
Ability to work independently and manage deadlines.
Experience handling sensitive and confidential documentation.
Knowledge of
Canadian and U.S. trucking regulations
is a strong asset.
