As the Residential Property Manager, you will drive exceptional tenant experiences and operational excellence. You will provide leadership to superintendents, manage tenant relations, enforce lease agreements, and coordinate with the maintenance department to address preventative maintenance, repairs, and improvements. You will monitor budgets, prepare reports, and implement strategies to maximize occupancy.
Key Responsibilities.
Leasing:
Take calls & respond to tenant inquiries
Show properties
Review applications
Screen prospective tenants through lawful reference & credit checks.
Approve/decline tenants
Review lease with tenants and obtain signature(s)
Tenant Relations.
Work with superintendents to create a positive living environment and sense of community.
Assist superintendents as necessary to enforce terms under the Residential Lease Agreement and problem solve tenant issues.
Professionally address tenant concerns being mindful of the landlord's interests and the tenant's rights under the RTA, 2006.
Ensure tenant incidents are well documented, video footage if available is extracted, and all documentation is appropriately saved.
Property Maintenance & Inspection.
Work with the maintenance team including superintendents to ensure the physical condition of the property is maintained to company standard. This includes cleaning, regular preventative maintenance, repairs, and improvements.
Conduct regular and thorough property inspections to identify maintenance deficiencies and tenant compliance to the terms of their lease agreement.
Respond as necessary to emergency events.
If a superintendent cannot cover their shift, it will be your responsibility to ensure their daily duties get completed even if this means doing the work yourself.
Financial Management.
Set appropriate rental rates using rental increase guidelines, knowledge of the local rental market, and the property's unique features.
Oversee rent collection.
Assist as necessary with late payment management.
Assist with any financial discrepancies.
Work with finance department on budgeting.
Legal Compliance.
Maintain up-to-date knowledge of Residential Tenancy Act (RTA), Ontario Human Rights Code as it applies to housing, and Municipal by-laws.
Prepare and serve all legal notices required under the RTA when necessary (N4, N5, N12, N9).
Represent landlord in Landlord & Tenant Board (LTB) hearings, mediation, or settlements.
Work with insurance adjusters as necessary regarding incidents such as a slip & fall.
Keep accurate and confidential tenant records.
Administrative Tasks.
Manage lease agreements and other tenant related documentation.
Monitor move-ins and move-outs.
Prepare renewals.
Maintain records of property related activities, inspections, maintenance requests, contractor visits, and snow logs...
Manage and store necessary video footage.
Marketing and Promotion.
Develop a marketing strategy.
Market available rental units.
Leverage traditional and digital marketing platforms.
Maintain an updated website.
Professionally show properties marketing features and benefits.
Hiring.
Recruit, interview, and select new superintendents as positions become available.
Training.
Provide initial and ongoing training to superintendents on,
telephone etiquette,
the Residential Lease Agreement,
the Residential Tenancies Act, 2006,
how to professionally show and market a property,
how to professionally interact with tenants, enforce rules, and de-escalate heated encounters.
Relationships.
Reports directly to Director over Residential Properties. Works with building superintendents, maintenance department, construction workers and contractors, finance department, and office staff at headquarters. Interacts with tenants and tenant representatives.
Education & Experience.
Post secondary degree in Business Administration, Real Estate, or related field. Certifications such as Certified Property Manager an asset.
Minimum of 5+ experience as a Residential Property Manager

Understanding of landlord-tenant dispute processes (Landlord and Tenant Board procedures)
