1. FUNCTIONAL ROLE



The Resident Experience Coordinator plays a key customer service and presentation role within the Brookline Heights community, representing the property with professionalism and warmth.

The primary function of the Resident Experience Coordinator is to facilitate both scheduled and walk-in tours of the show suite and amenity spaces, ensure the presentation areas remain clean and visitor-ready, and provide basic marketing and administrative support. The Coordinator also serves as the first point of contact for current residents, responding to their inquiries and ensuring a satisfactory experience. This role is focused exclusively on hospitality and information sharing, and does not involve leasing, negotiation, or any activities that constitute trading in real estate or property management as defined under the Real Estate Act of Alberta.

This position reports to the Property Manager at Collective Property Group Ltd. and works collaboratively with the on-site operations team to ensure that the presentation standards of Brookline Heights reflect the high-quality living experience offered by Collective Property Group Ltd.

2. QUALIFICATIONS



Excellent communication and interpersonal skills.

Highly organized with strong attention to detail and time management

Comfortable working independently on-site while collaborating with ownership

and staff.

Proficient in Microsoft Office Suite; Professional presentation and positive

attitude.

2+ years of experience in leasing, property management, hospitality, or customer

service

3. REPORTING RELATIONSHIPS



Reports directly to the Property Manager

Works closely with the Broker, Property Manager, and Owner

4. AUTHORITY



(a) Authorized to:


The Resident Experience Coordinator is authorized to perform the following duties:

Communicate general rental information and respond to inquiries from prospective and current tenants in person, by phone, or via email.

Schedule appointments, maintain the leasing calendar, and coordinate access for viewings.

Conduct guided tours using approved talking points and marketing materials.

Provide general, pre-approved information regarding suite layouts, amenities, and published rental rates.

Coordinate and oversee move-in and move-out activities, including conducting inspections.

Record visitor names, contact information, and tour feedback for follow-up by licensed personnel.

Maintain the cleanliness, organization, and presentation of the show suite and display areas.

Manage and follow up on tenant maintenance requests to ensure timely completion and resident satisfaction

Report maintenance issues, visitor feedback, and supply requirements to the Licensed personal

Deliver official notices (such as maintenance entry notices, community updates, or late rent reminders) as directed by the Property Manager or Broker.

The Resident Experience Coordinator is not permitted to engage in the following activities:

Negotiate, discuss, or modify lease terms, rental rates, or incentive offers.

Provide information that has not been published or pre-approved by Collective Property Group Ltd.

Accept, collect, or handle any payments, applications, deposits, or identification from prospective tenants.

Prepare, interpret, explain, or sign lease agreements, addenda, or any tenancy-related documents.

Present themselves as a licensed leasing agent, property manager, or RECA licensee.

Offer personal opinions or advice regarding tenancy eligibility, application outcomes, or leasing decisions.

Conduct showings outside approved hours or without prior authorization from the Management Team.

5. DUTIES AND RESPONSIBILITIES



Serve as the primary onsite contact for inquiries at Brookline Heights and affiliated properties, welcoming walk-in visitors and scheduled tour guests.

Provide general information regarding suite layouts, amenities, and community features.

Distribute brochures, business cards, and approved marketing materials.

Collect and record visitor information for follow-up by the leasing team.

Maintain the show suite in a clean, organized, and visitor-ready condition (e.g., lights on, materials stocked, music playing).

Communicate visitor feedback, maintenance concerns, and supply needs to the Property Manager.

Communicate general rental information and respond to inquiries from prospective and current tenants in person, by phone, or via email.

Support vacancy-minimization efforts by delivering effective, high-quality service to both prospective and current residents.

Participate in after-hours and weekend emergency rotations and assist with evening/weekend move-ins or move-outs as required.

Enforce property policies and ensure compliance with all applicable codes and regulations.

Maintain accurate data entry and filing of tenant records, lease documents, and property information.

Manage and follow up on tenant maintenance requests to ensure timely completion and resident satisfaction.

Monitor rent collections, arrears, and lease compliance as directed.

Deliver exceptional resident service by addressing concerns, service requests, and emergencies professionally and promptly.

Receive, prioritize, and dispatch maintenance requests, liaising with building operators and third-party contractors to ensure timely resolution.

Job Type: Part-time

Pay: $22.00 per hour

Expected hours: 25 per week
