Residence Front Desk StaffPrimary Purpose: The incumbent will provide clerical support within the Residence Services Office on campus at the University of Saskatchewan and act as the first point of contact with Conference and short stay guests and in-room student residents, providing quality customer service on evenings and weekends as needed to facilitate guest arrival and check-in process.Nature of Work: Reporting to the Assistant Manager, Residence Operations, the incumbent is expected to assist with the preparation and coordination of Conference and short stay guests accommodations, the Fall student move-in process, booking accommodations and guests arrival, lockout support, along with providing clerical support to the Residence Services team and treat all information and materials in a confidential manner.The incumbent is also expected to communicate issues of importance or concern to the immediate supervisor in a timely manner; collaborate with others as required to complete assignments and support team efforts and projects as directed. The incumbent will be expected to have strong customer service experience and skills, organization and communication skills and meet deadlines; comply with all relevant legislation, regulations, policies and procedures and participate as an active and supportive member of the Residence Services Office.Typical Duties: Acting as the first point of contact, the incumbent will provide exceptional face-to-face, phone and email customer service and support; handle regular phone inquiries, work with conference, short stay guests and students and to provide support. The incumbent will check conference guests in; respond to email inquiries as received; receive and process payments (debit, credit card, cheques); update documents as instructed, prepare move-in envelopes, including labeling and stuffing with relevant move-in information, and data entry into the housing database. The incumbent will also code conference guest cards, assisting during the large Move-In process in August and September and other administrative tasks as assigned.Qualifications:
Education: High school diploma or equivalent. A combination of education and experience will be considered.Experience: Experience in the hotel industry, educational and/or property management environment where rent or rental issues were handled will be considered an asset. A combination of customer service and administrational experience is required, along with proven typing speed. Must be bondable and have cash handling experience. Knowledge of the Persona electronic locks system and StarRez database system is a definite asset. The successful candidate will be asked to provide a criminal record and vulnerable sector check from the Saskatoon Police Services at the onset of employment.Skills: Dedication to providing exceptional customer service and support skills, proven verbal and written communication skills and basic computer skills are essential with emphasis on experience with Microsoft Office software.
