Department Description:
The Office of the Registrar proudly supports McMaster University's academic mission through the creative, efficient provision of core administrative student services and the support of staff and faculty across all areas of the university community. Our work in supporting the student experience reaches from initial contact with prospective students through the celebrations of convocation. We are a smart, collaborative staff of over 100, spread across 8 departments: Student Services & Financial Support, Student Recruitment, Undergraduate Admissions, Records, Systems, Scheduling & Examinations, Student Communications and Central RO Administration
The Student Recruitment department develops and maintains relationships with prospective undergraduate students and their influencers: parents, educators, guidance counsellors, etc. Representing McMaster in various recruiting contexts from large-scale events to one-on-one interactions with students, the Recruitment team identifies and understands relevant demographic and market trends, nurtures relationships and fosters student success through their recruitment journey.
We are currently seeking a Recruitment Officer, International, that will use a variety of specialized skills to promote and support the international recruitment strategy in the Office of the Registrar. As the "face of McMaster", the ideal Recruitment Officer is a creative, confident, people-person. They are someone who thrives on communicating with high school students and their supporters. They can share their passions for McMaster with prospective students from around the world. In person and online. They will deliver information pertaining to student recruitment, admission, and international student university life. Public speaking, delivering presentations and overall excellent communication skills are a must. The Recruitment Officer will have an in-depth understanding of international markets and trends. The international recruiter will operate with independence, proficiency, and professionalism as they carry out their extensive out-of-country recruitment travel schedule. They will also utilize data management systems such as Customer relationship management system (CRM), Mosaic, Power BI, and use data to inform decision making and generate innovative solutions to enhance student recruitment activities.
Project Description:
Responsible for attracting well-qualified applicants to the University through a variety of centralized recruitment efforts, programs, and initiatives. Delivers information to students in person to promote the various faculties and specific programs within the University and to ensure the University meets its target enrolment.
Representative Duties and Responsibilities:
Develop conceptual plans and budgets for projects.
Implement projects and ensure adequate staffing and that projects come in on time and on budget.
Develop and deliver presentations to potential applicants, families, and guidance counsellors.
Plan and coordinate various University recruitment events and campus-wide activities.
Develop estimates of time and resources required for a variety of events and activities.
Develop and implement market research strategies to establish and remain current with market trends.
Develop, implement, and coordinate a marketing plan for annual recruitment activities ensuring the image and reputation of the University is maintained.
Analyze travel reports and previous year's statistics to develop the school visit schedule.
Monitor and reconcile accounts, prepare financial statements, calculate program costs, travel expenses, and develop budget proposals.
Negotiate terms and prices with external suppliers for services, supplies and equipment.
Design and develop learning and training materials for temporary staff.
Develop and deliver training sessions to temporary staff.
Update, maintain, and verify information in a variety of databases and spreadsheets.
Write and edit a variety of documents including, but not limited to, marketing materials, reports, correspondence, and email.
Create, monitor, and update websites and electronic request forms.
Write and modify queries to extract data from databases.
Facilitate focus groups to determine the effectiveness of current publications and to identify areas for improvement.
Document and provide feedback to senior staff regarding the target audience's perception of the University.
Meet with and respond to inquiries from prospective students.
Liaise regularly with stakeholders across the campus.
Attends and represents the University at recruitment events.
Travel to visit high schools and complete student registration activities.
Ensure the confidentiality and safeguarding of student files.
Maintain filing systems, both electronic and hard copy.
Remain current with frequent changes in all academic areas, programs, admission policies and procedures, electronic media, and social networking.
Prepare reporting such as end of season, market insight or country analysis reports
Supervision:
Ongoing responsibility for supervising up to 9 casual employees at any one time.
Qualifications:
Bachelor's degree in a relevant field of study.
Requires 3 years of relevant experience.
The successful candidate must possess the following:
Strong relationship building skills.
Experience in undergraduate student recruitment, preferably international student recruitment.
Knowledgeable of academic offerings at McMaster as well as other post-secondary institutions.
Must be conversant with issues related to student recruitment, admission, university life and issues surrounding international students.
Experience in working in partnership arrangements through collaborative methods.
Experience creating and maintaining various social media and other digital communication channels (i.e., Webinar and live chat support)
Works equally well as a team member or independently.
Proven record of tact and diplomacy, excellent communication, public speaking and conflict resolution skills and the ability to work within a rapidly changing environment.
Must be prepared to make several presentations each day.
Excellent Customer Service Skills
Experience in market research (establishing and remaining current with market trends).
Project Management Skills
Assets:
Working knowledge and understanding of admission requirements for international curriculums across the globe. Specific regions will be assigned to the Recruitment Officer
Fluency in a second language would be considered an asset.
Familiarity with the Visa market and its unique needs would be considered an asset. The position will have a portfolio related to the International/Visa market.
Additional Information:
Extensive travel is required during certain parts of the year (trips can be up to two weeks at a time).
Flexibility in terms of work hours and availability to travel inside and outside of Canada is required. Some Evening and weekend work is required.
Must be able to work evenings and weekends on a flexible schedule.
Must be able to lift and carry materials in the range of 30 to 50 lbs.
Must have a valid "G" Ontario driver's license and valid passport. A Canadian passport is preferred to meet our travel requirements.
