UNIT/PROJECT DESCRIPTION:
The DeGroote School of Business, Student Services team supports all students within the DeGroote School of Business - MBA, BCom, specialized graduate programs and PhD students. As an integrated team, we champion new ideas, collaborate across boundaries, and learn continually to deliver a consistent and inspiring student services. This position will be located both at the Ron Joyce Centre in Burlington, and on main campus in Hamilton. DeGroote offers full-time, co-op, accelerated and part-time MBA study options as well as a number of Specilized graduate programs. The Recruitment Officer works within the MBA & Specialized Recruitment and Admissions team to develop and implement a strategic recruitment process, to ensure DeGroote achieves its annual admission targets. The role is integral to shaping and promoting the DeGroote brand to national and international audiences. Some support for other DeGroote programs may be requested of incumbents in this position throughout the year.
JOB SUMMARY:
Responsible for attracting well-qualified applicants to the University through a variety of centralized recruitment efforts, programs, and initiatives. Delivers information to students at events as a means to promote the various faculties and specific programs within the University and to ensure the University meets its target enrolment.
PURPOSE AND KEY FUNCTIONS:
Develop conceptual plans and budgets for projects.
Implement projects and ensure adequate staffing and that projects come in on time and on budget.
Develop and deliver presentations to potential applicants, families, and guidance counsellors.
Plan and coordinate various University recruitment events and campus-wide activities.
Develop estimates of time and resources required for a variety of events and activities.
Develop and implement market research strategies to establish and remain current with market trends.
Develop, implement, and coordinate a marketing plan for annual recruitment activities ensuring the image and reputation of the University is maintained.
Analyze travel reports and previous year's statistics to develop the school visit schedule.
Monitor and reconcile accounts, prepare financial statements, calculate program costs, travel expenses and develop budget proposals.
Negotiate terms and prices with external suppliers for services, supplies and equipment.
Design and develop learning and training materials for temporary staff.
Develop and deliver training sessions to temporary staff.
Update, maintain, and verify information in a variety of databases and spreadsheets.
Write and edit a variety of documents including, but not limited to, marketing materials, reports, correspondence and email.
Create, monitor, and update website and electronic request forms.
Write and modify queries to extract data from databases.
Facilitate focus groups to determine the effectiveness of current publications and to identify areas for improvement.
Document and provide feedback to senior staff regarding the target audience's perception of the University.
Meet with and respond to inquiries from prospective students.
Liaise regularly with stakeholders across the campus.
Attend and represent the University at recruitment events.
Travel to visit high schools and complete student registration activities.
Ensure the confidentiality and safeguarding of student files.
Maintain filing systems, both electronic and hard copy.
Remain current with frequent changes in all acadmic areas, programs, admission policies and procedures, digital media and social networking.
SUPERVISION:
Ongoing responsibility for supervising up to 9 casual employees at any one time.
ASSETS:
This role will develop and execute an annual domestic and international recruiting and admissions strategy to achieve program enrollent targets. The successful candidate will be a strategic leader who demonstrates a strong knowledge of university recruitment.
The following assets are integral to success:
Demonstrated experience in business to business marketing, sales and relationship management, experience in student recruitment is considered an asset.
Proven public speaking, pursuasive presentation and facilitation skills including experience delivering presentations to cross-cultural audiences.
Experience in managing and working with a CRM (preference for MS Dynamics) and building and executing marketing and student recruitment campaigns within the CRM.
Strategic thinker who can identify creative solutions using data analytics Demonstrated skills in student coaching and ability to deliver feedback and/or difficult messages.
Ability to adapt and be responsive to changes in an evolving domestic and international MBA market. Ability to multi-task in a fast-paced environment, effectively prioritize activities and demonstrate a high degree of maturity and professionalism.
Exceptional technical skills, including, Microsoft Word, PowerPoint and advanced Excel, and the ability to analyze and summarize complex data sets.
The incumbent will be a dynamic self-starter, who can work independently as well as provide leadership within the team.
Experience using social media tools for student recruitment, and fluency in multiple languages, would be an asset.
ADDITIONAL INFORMATION:
This position requires extensive domestic and international travel, including recruitment trips up to 3 weeks in duration. Travel may include areas not serviced by public transit. Access to reliable transportation is required as well as a valid passport. Recruitment and Admission activities often happen outside of normal working hours and on weekends.
