POSITION SUMMARY
Reporting to the Branch Manager.
The position represents Nortrux during the initial contact with customers and vendors organization of parts department files and assisting the parts manager and parts employees in administrative aspects of inventory control. This position also ensures that parts department paperwork and daily parts department functions run smoothly.
DUTIES & RESPONSIBILITIES
Represent Nortrux Inc. by greeting customers and vendors in a pleasant and friendly manner.
Answer a multi-line switchboard in a friendly manner and direct incoming phone calls to the appropriate department and/or employee.
Maintain an Active social media presence for Nortrux Inc.
Coordinate reception functions to facilitate seamless customer service.
Maintain a clean and organized front reception area.
Organize incoming mail and courier packages.
Prepare all outgoing mail.
Order and coordinate office supplies, photocopier supplies, company business forms, business cards, letterhead, stationary, etc.
Responsible for the efficient operation of office equipment.
Provide administration support as required by all departments.
Other duties as required.
Follow all policies, procedures, and regulatory requirements.
Ensure compliance with ISO or company-specific quality programs and the appropriate use of procedures.
Verifies and keeps records to ensure that the parts department functions run smoothly.
Assist with traceable Inventory control.
Liaison with part suppliers and Mack Corporate.
Timely Payment of MACK for MAR and Compass Claims
Ensure documents are processed accurately and promptly.
Process and ship monthly 'service parts returns' (SPR).
Process core return documentation for all vendors.
Expedite direct ship orders to end users and process billing.
Process inventory obsolescence return documentation for all vendors
Maintain knowledge of incentives, bulk buying, and special programs
Control of stock replenishment orders for high-volume resellers
Improve position functions and procedures to obtain better efficiency.
Perform other duties as assigned
