Nature of Work





This position provides clerical and administrative support to the Associate Dean, Engagement & Development, contributing to the advancement of strategic initiatives in Indigenization, globalization, equity, diversity, inclusion, and faculty engagement. The role requires a proactive, detail-oriented individual who thrives in a dynamic, multi-stakeholder environment. The incumbent will manage sensitive information with discretion and support a wide range of internal and external engagement activities.


Key Responsibilities




Provide direct administrative support to the Associate Dean, including calendar management, travel coordination and preparation of claims through Concur, meeting preparation, and correspondence Assist in the coordination and administrative support of strategic initiatives and projects related to Indigenization, globalization, EDI, and faculty engagement Support the planning and execution of engagement activities, events, and partnership meetings with internal and external stakeholders (local, national, and international) Maintain accurate records and documentation for college-level committees and initiatives led by the Associate Dean or as assigned by the Dean's Office Prepare and distribute meeting agendas, minutes, and action item trackers for strategic planning and engagement committees Support communication efforts, including drafting updates, maintaining web content, and updating digital signage related to engagement and development initiatives Support the Director of Globalization with the coordination of international initiatives, manage communications and logistics, and maintain documentation, and assist with project planning and reporting Liaise with faculty, staff, students, and external partners to facilitate collaboration and ensure timely follow-up on initiatives Assist in formatting flyers, manuscripts, surveys, reports, and presentations Assist in collecting data and preparing summary reports, charts, or presentations for internal and external stakeholders Provide project support by data collection, preparing reports, and independently managing smaller project tasks as assigned Contribute to a positive, inclusive, and respectful work environment aligned with the College's values May be required to perform other related duties as assigned to meet the ongoing needs of the College of Nursing. Flexibility and a willingness to adapt to changing priorities are essential

Qualifications




Education:



Completion of a recognized one-year post-secondary administrative program. A combination of education and experience may be considered. Knowledge, understanding, and acquired work experience in an office and university setting are assets.


Experience:



Three to five years of related administrative experience, preferably in a post-secondary or health sciences environment. Experience supporting senior leadership or working on strategic initiatives is an asset.


Skills and Attributes:




Strong organizational and time management skills with the ability to manage multiple priorities Excellent interpersonal and communication skills, both written and verbal Proven cultural competence and sensitivity to the fields of Indigenization, EDI, and globalization Ability to work independently and collaboratively in a fast-paced, team-oriented environment High level of discretion, professionalism, and confidentiality Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams), with familiarity in a range of digital collaboration tools. Possesses working knowledge of SharePoint and Concur, with additional experience in event coordination platforms (e.g., Eventbrite, Doodle) and virtual meeting tools (e.g., Zoom, Microsoft Teams) Familiarity with survey tools (e.g. Qualtrics, SurveyMonkey, Google Forms), data visualization or reporting tools (e.g. Excel, Canva), and experience using AI tools would be considered an asset
