Job Description


Dalhousie Financial Services strives to provide the highest quality financial services and information to ensure the effective stewardship of university assets to the benefit of students and scholarly activities. Financial Services is a core service unit of the University, providing services in areas of financial accounting, budgeting, procurement and risk management, cash management, financial systems and policies, and the University\'s endowment, pension and short-term investment programs and payroll services. Reporting to the Executive Assistant & Operations Manager, the Reception and Administrative Assistant will be the primary point of contact for Financial Services and will be responsible for providing exceptional customer service to our customers and stakeholders both internal and external to Financial Services.
Key Responsibilities

  • Acts as information resource for Financial Services and is usually the first point of contact in assisting visitors, employees and students in person, by email, and by telephone. Troubleshoots issues as required.
  • Provides support to Financial Services which includes but not limited to office maintenance, managing furniture/key inventory, receiving and distributing mail and data entry tasks.
  • Responsible for miscellaneous financial activities such as but not limited to preparing journal entries, reconciling P-card.
  • Provides support to HR processes within Financial Services including creating and updating organizational charts, processing payroll forms and setting up casual staff in the system.
  • Prepares and coordinates maintenance work orders that are submitted for the office.
  • Updates the Financial Services Sharepoint site as needed.
Note

Due to operational requirements, the successful applicant is required to work in-person on campus.

Required Qualifications
  • Business/Office Administration program with three to five years\' related experience in a customer service background (or equivalent combination of training and experience).
  • Experience in a financial inquiries or document processing environment.
  • Ability to prioritize, problem solve and meet demands in a high volume, deadline-driven environment with strong attention to detail.
  • Demonstrated professionalism, and excellent interpersonal and communication (verbal and written) skills are essential.
  • Proficiency in MS Office applications and experience with integrated administrative systems (e.g., Banner).
