As a Client Care Coordinator, you will be the main point of contact for clients throughout their journey, managing relationships, addressing inquiries, and ensuring a seamless and exceptional experience from start to finish. Your organizational skills will be key in assisting with scheduling appointments, maintaining communication with clients, and supporting agents with essential paperwork and documentation. You'll also contribute to the development of new processes and protocols aimed at streamlining operations and enhancing the client experience.

Responsibilities: Responsibilities of a Real Estate Client Care Coordinator
Client Relationship Management
? Build and maintain strong relationships with a diverse range of clients, including buyers, sellers, landlords, and tenants .
? Proactively understand client needs, preferences, and timelines , ensuring a personalized and seamless experience.
? Provide exceptional customer service by anticipating client concerns and delivering proactive solutions.
Primary Point of Contact
? Serve as the main liaison for clients, ensuring prompt and professional responses to inquiries.
? Keep clients informed with regular updates on listings, transactions, and market activity .
? Address and resolve any client concerns or questions , ensuring smooth communication and satisfaction.
Market Knowledge & Client Advisory
? Stay updated on local real estate market trends, property values, and recent sales data to provide valuable insights to clients.
? Assist clients in understanding market conditions and making informed real estate decisions.
? Work closely with agents to ensure accurate market data and strategic pricing recommendations for listings.
Client Database & Record Management
? Maintain and organize detailed client records , including contact information, property details, transaction history, and essential documents .
? Ensure accurate data entry and up-to-date records in Follow Up Boss CRM, Paragon (Edmonton MLS), and Google applications .
? Oversee document management and compliance , ensuring smooth transactions and proper record-keeping.
Efficiency in a Fast-Paced Environment
? Effectively manage multiple tasks and deadlines in a high-volume real estate environment.
? Adapt quickly to changing priorities while maintaining efficiency and accuracy.
? Work collaboratively with agents and administrative staff to ensure seamless transactions and smooth team operations.

Qualifications: Qualifications & Skills for Real Estate Client Care Coordinator
Education & Certification
? High school diploma or equivalent required ; additional education or certification in real estate, business administration, or a related field is a plus.
Communication & Client Relations
? Exceptional verbal and written communication skills to effectively engage with clients, agents, lenders, and industry professionals.
? Strong follow-up abilities to ensure seamless client interactions and long-term relationship management.
? Ability to handle client inquiries professionally , ensuring timely and accurate responses throughout the transaction process.
Real Estate Knowledge & Closing Procedures
? Solid understanding of real estate laws, regulations, and closing procedures , ensuring transactions are handled efficiently and in compliance with industry standards.
? Experience coordinating real estate transactions, managing contracts, listings, and paperwork to facilitate smooth closings.
CRM & Database Management
? Advanced proficiency in Follow Up Boss CRM and Paragon (Edmonton MLS system) for efficient lead tracking, client interactions, and transaction management.
? Experience managing large databases (5,000+ clients) while maintaining accuracy, organization, and seamless workflow integration.
? Strong ability to analyze and interpret data within CRM systems , ensuring lead follow-ups and client engagement strategies are optimized.
Team Coordination & Leadership
? Proven ability to manage and coordinate a team of 20+ individuals , ensuring alignment with business objectives and operational deadlines.
? Ability to delegate tasks effectively , providing guidance and support to ensure high performance and efficiency within the team.
Technology & Tools
? Proficiency in Google Workspace applications (Gmail, Google Drive, Docs, Sheets, Calendar, etc.) for collaboration and document management.
? Experience using real estate transaction software, document management systems, and communication platforms to streamline daily operations.
? Ability to troubleshoot and adapt to new technology to enhance efficiency and improve workflow processes.
