Real Estate Assistant
to help us maintain high standards across all aspects of our operations.
Job Summary
This is a fast-paced, detail-driven role that requires
prior real estate experience
. You'll be responsible for coordinating listings and transactions, managing communications, organizing digital files, and keeping the team on track. You'll also be expected to professionally engage in
group chats with clients
and help ensure they feel informed and supported throughout their journey.
Key Responsibilities
Manage calendars, book appointments, and coordinate showings
Prepare and organize listing and transaction paperwork
Track critical dates and ensure files and documents are complete and compliant
Maintain organized systems and documents using
OneDrive
Professionally communicate with clients, agents, and vendors via phone, email, and group chat (e.g., text, WhatsApp)
Participate in
client group chats
to help guide and support throughout the process
Support social media content scheduling or posting (asset, not required)
Qualifications
Experience working in a real estate office or with a real estate team is required
Strong knowledge of real estate documentation, processes, and timelines
Comfortable participating in
client group chats
and contributing professionally in written communication
Proficient in Microsoft Word, Google Workspace (Docs, Sheets, Calendar), and OneDrive
Excellent verbal and written communication skills, especially over the phone
Comfortable managing multiple tasks and shifting priorities in a fast-paced environment
Familiarity with CRMs and platforms like Follow Up Boss, Webforms, DocuSign, Authentisign, and MLS
Bonus: Experience with Canva or basic content creation
