Job Description

Development Planning
Assist with municipal development approvals including site plans, zoning by-law amendments
and building permits.
Assist with the compilation and review of all materials necessary for outgoing proposals.
Coordinate and track site plan approval processes.
Create subcontracts, change orders, and purchase orders.
Coordinate with the Accounting Department to ensure payment to consultants when necessary.
Draft letters and edit outgoing correspondence.
Track municipal development cost charges in all relevant markets.
Compile and review all market reports.
Schedule meetings, take minutes/notes, and undertake necessary follow-ups.
Assist on-site evaluation process for land acquisitions.
Support senior development team members.

Project Accountability and Responsibility
Provide administrative support as required to the development team to assist with various
projects and assignments.
Attend internal project meetings, take minutes, and distribute minutes.
Develop and maintain project files - Administration of project correspondence, filing, record
keeping, etc.
Prepare and facilitate requests for proposals as required for project specific tasks.
Prepare and distribute project updates and reports.
Assist and organize with community engagement initiatives for development projects.
Coordinate with the Accounting Department in invoices, tracking and processing internal fee
requests.
Record, code, and review incoming invoices for accuracy and completeness. Manage and
actively track the internal invoices. Follow-up on cheque requisitions.
Review consultant and contractor/supplier proposals and prepare consultant and contractor/
supplier agreements in conjunction with the development lead.
Assist with tracking of various agreements.
Take initiative to follow-up on outstanding deliverables to ensure invoices and other tasks are
processed within established timelines.

Job Requirements: 1-2 years' experience.
Valid drivers' licence and reliable access to a vehicle.
Highly organized and methodical thinker.
Background in construction, real estate, planning and development an asset.
Knowledge of municipal review and approval process.
Ability to read and understand architectural and civil drawings.
Ability to read and understand purchase and sale agreements.
Excellent computer skills and must be proficient in Microsoft Word, Excel, PowerPoint, and
Acrobat Pro.
Strong work ethic.
Thrives in a fast-paced, high pressure environment.
Ability to tackle issues and create solutions,
Strong attention to detail.
