The Real Estate Assistant plays a key role in supporting the daily operations of a high-performing real estate team. This individual will assist with transaction coordination, listing management, client communications, and team support -- while also having the potential to step in for licensed responsibilities if already licensed or once licensed. This is a vital role for maintaining consistency, service excellence, and organizational efficiency across the business.
Key Responsibilities
Transaction & Listing Management
Prepare and manage all listing documents, contracts, and forms (with licensed support where required)
Coordinate listing preparation including photography, staging, signage, property write-ups and MLS input
Manage transaction timelines, track condition dates, and coordinate closing steps
Communicate with clients, lawyers, agents, and vendors throughout the process
Ensure all paperwork is completed accurately and filed appropriately
Client Communication & Support
Serve as a consistent, professional point of contact for clients throughout the buying/selling process
Provide timely updates and proactive communication to keep clients informed and confident
Assist in client care initiatives such as gift preparation and deliveries, check-ins, event coordination or handwritten notecards
Administrative & CRM Support
Maintain and update client databases and CRM systems
Input and track leads, assign follow-ups, and ensure no opportunities are missed
Assist with team scheduling, calendar coordination, and internal communication
Licensed Backup for Showings & On-Site Appointments
(if licensed, or upon obtaining license)
Step in as a licensed backup for showings, buyer tours, and walk-throughs when agents are unavailable
Attend home inspections and other key appointments as needed
Represent the team professionally and ensure the client experience remains seamless and consistent
Be flexible and responsive to occasional last-minute appointment needs
Team & Systems Support
Assist with task management and process improvements to increase operational efficiency
Collaborate with agents and other admins to streamline handoffs and ensure a high standard of service
Stay up to date with industry regulations and team procedures

Tech-savvy with the ability to learn CRM systems and task management tools
Confident in both administrative and client-facing settings
Detail-oriented, proactive, and solution-focused
Comfortable with a mix of office work and on-the-go responsibilities
Able to work occasional evenings/weekends as needed
Job Types: Full-time, Permanent
Pay: $35,000.00-$50,000.00 per year
