About the Role

We\'re on the hunt for a standout Property Administrator / Office Administrator to add value to a growing real estate investment portfolio. The Property Administrator / Office Administrator will be a key player in managing day-to-day property portfolio administration. Responsibilities include but are not limited to:
- Tenant Liaison: Serve as the first point of contact for tenant correspondence related to operational and leasing matters.
- Financial Processing: Take charge of coding invoices and preparing purchase orders.
- Contract Management: Administer, review, and monitor various service contracts.
- Data Coordination: Work closely with Property Accountants and Property Managers to maintain data accuracy.
- Tenant Transition: Prepare checklists for tenants\' move-in and move-outs, ensuring all paperwork is complete.
- Budgeting and Billings: Assist in the budget process and handle year-end or new-year billings.
- Lease Management: Abstract leases and onboard tenants in the property management software.
- Insurance Tracking: Keep tabs on insurance certificates of insurance for compliance and expiration.
- Record Keeping: Update and maintain the accuracy of tenant contact lists.
- New Tenant Onboarding: Prepare welcome packages and coordinate onboarding procedures, including vendor and utility transitions.
- General Support: Assist Property Managers and executives with additional tasks as needed.
Qualifications and Requirements
- A minimum of 3 years of experience in a similar role.
- Proficiency in Microsoft Office Suite, especially Word and Excel.
- Familiarity with property management software is a strong asset.
- Strong attention to detail and conscientiousness.
- Excellent time management and organizational skills.
- A customer service orientation.
- Bilingual capabilities in French and English are considered an asset but not a requirement.
