Job Summary


The Property Administrator plays a crucial role in the effective management of residential and commercial properties. This position involves overseeing daily operations, ensuring compliance with relevant regulations, and providing exceptional customer service to tenants and property owners. The ideal candidate will possess strong organizational skills, a keen understanding of property management practices, and the ability to handle various administrative tasks efficiently.

Responsibilities



Tenant Relations


o Handle lease agreements, renewals, and terminations.

o Address tenant inquiries, complaints, and service requests.

o Coordinate move-ins, move-outs, and property inspections.

Administrative Duties


o Maintain accurate records of leases, payments, and correspondence.

o Prepare reports on occupancy, maintenance, and financials.

o Ensure compliance with property management regulations.

Financial Management


o Collect rent and other fees.

o Assist in budgeting and expense tracking.

o Manage invoices, purchase orders, and vendor payments.

o Entry of all deposits and maintain necessary records.

o Complete tenants' statement of accounts.

Maintenance Coordination


o Coordinate property maintenance and repair work.

o Schedule routine maintenance and emergency repairs.

o Liaise with contractors and service providers.

o Ensure property upkeep meets safety and aesthetic standards.

Marketing and Leasing


o Assist in marketing and leasing vacant units.

o Conduct property inspections and ensure units are as per YAD standards.

Compliance & Legal


o Ensure adherence to local laws and building codes.

o Issue notices for late payment, eviction etc. as required.

o Support eviction processes when necessary.

o Maintain insurance and licensing documentation.

Skills



Experience with Yardi or similar property management software is preferred. Strong understanding of landlord-tenant law, typical commercial leases, and other municipal regulations. Excellent customer service skills with a focus on building positive tenant relationships. Effective conflict management abilities to resolve disputes amicably. Strong negotiation skills for contract discussions and lease agreements. Familiarity with facilities management practices to ensure property upkeep. Previous experience in real estate administration or property management is advantageous. Ability to perform data entry accurately while maintaining attention to detail. Proficient phone etiquette for professional communication with tenants and vendors. Knowledge of CMMS (Computerized Maintenance Management System) is a plus.
