RESPONSIBILITIES

  • Accounts Payable \xe2\x80\x93 invoices entering in Payscan
  • Accounts Receivable \xe2\x80\x93 rent collection, Tenant statement of accounts, Year-End Adjustments, Pre-bills, Chargebacks etc.
  • Coordinate, collect and report on the collection of all tenant billings
  • Prepare reconciliations of tenant accounts, as required;
  • Assist with review & delivery of year end recovery adjustments and pre-bills; ensure statements are sent accordance with lease requirements and deadlines;
  • Prepare Parking lot report and submit to accountant
  • Tenant Contact Database: Maintain and keep accurate all tenancy information relating to address, phone numbers, contact information, insurance, parking and utilities.
  • Maintain and keep up to date building information data;
  • Ensure all files, including electronic files, are complete and accurate and have valid and executed documentation;
  • Assist in handling all building operator inquiries;
  • Assist with the process of property certifications such as BOMA, LEED, WELL etc.,
  • Provide a high level of customer service to all clients, colleagues, tenants and other stakeholders requiring assistance.
  • Assist the team in all administrative areas including office management duties when required;
  • Attend client, tenant and contractor meetings as required;
  • Perform duties as required by JLL\xe2\x80\x99s corporate operating procedures;
  • Other reasonable duties as assigned; any other ad-hoc responsibilities
  • Organize JLL staff events
  • Reception duties
  • Back-up to Assistant Property Manager \xe2\x80\x93 sending out tenant bulletins, coordinating tenant events
KEY REQUIREMENTS
  • Hours \xe2\x80\x93 8:30 am\xe2\x80\x93 5:00 pm
  • Post-secondary education required.
  • University or College degree preferred or working towards a degree; enrolment in financial courses desirable.
  • Working knowledge of MS Office applications required. Knowledge of Real Estate budgeting software such as REALM and CTI an advantage .
  • Good interpersonal, communication and team skills.
  • Aptitude for servicing tenants with the ability to see both the customer\xe2\x80\x99s perspective and the impact on the organization.
  • Ability to multi-task and prioritize to meet changing demands and expectations of clients.
  • 2 to 3 years\xe2\x80\x99 experience in a commercial property, preferably in operations or tenant management; interest in a Real Estate career path.
