About the Role:

Reporting to the Property Manager, you will be instrumental in supporting our Property and Operations teams in successful completion of their work. You will work closely with the on-site service providers (where applicable) who provide on-site supports by focusing on exceptional property management experience for all stakeholders of the properties.

AHANS' portfolio houses vulnerable demographics from an array of backgrounds. The successful candidate must be compassionate and treat all our tenants and partners with decency and respect.

You will contribute to many aspects of front line property management, including tenancy management, maintenance, and on site coordination of multiple parties.

Practically, the role includes:



Act as the office based point of contact for tenant and property related matters. Receive and respond to inquiries received via the AHANS voicemail. Attending meetings as required, taking notes, minutes, scanning documents, and assisting with logistical matters (catering, IT. Etc.) Coordination of our tenant leasing process, including posting ads, coordinating of showings, receiving and reviewing application, interview, and approval process. Creation of lease agreements and package for all new and renewing residents, including organizing security deposit payments and verifying tenant insurance terms. Prepare and deliver notices to tenants for various matters. Completing and filing requests for hearings and evictions for Residential Tenancies. Reviewing rental payments, arrears, and coordinating collection of payments, working closely with finance and the property manager. Prepare other reports for internal and external use. Ensure files, meeting minute, other records are well maintained and circulated in a timely fashion Tracking maintenance requests and forwarding to the maintenance team when required. Provide highly organized support and service to our Property Manager as required. Collaborate with the administration team for overall coverage of the reception desk, and coordination of the office environment, including guest management, room management, telephone coverage, receipt of mail & packages, offering coffee / tea / water to guests etc. You will be expected be a part of the AHANS property team on-call schedule, for regular weeknight and weekend coverage for emergency and maintenance issues.

Work Conditions and Physical Capabilities:



Office based role, with occasional on call responsibilities Work well under pressure with the ability to multi-task and prioritize tasks.

Typical Working Hours:

Monday to Friday, 8:00am until 4:00pm. On-call and after-hours work required. On-call hours are assigned on a rotating basis.

Required Experience:



3-5 years experience in a similar administration role, with a focus on Property or Facilities management. Working knowledge of a Property Management software would be an asset. Experience in Office 365, G-suite, word processing and other administrative software Knowledge of, and willingness to engage in, Trauma Informed Practices.
