Key Responsibilities
Provide comprehensive administrative support to the Property Management team, including preparing reports, letters, and correspondence, organizing files, and maintaining efficient office systems
Coordinate day-to-day property administration activities, ensuring timely communication and documentation across portfolios
Support the resolution of tenant inquiries and service issues to maintain a high standard of client satisfaction
Maintain and track service contracts for each property, monitoring renewal and expiry dates to ensure uninterrupted operations
Contribute to the development and improvement of departmental processes and procedures to enhance efficiency and consistency
Manage building access systems by issuing and programming access cards, updating time specifications, and adjusting door schedules as required
Provide accounting and financial support, including processing invoices, tracking tenant chargebacks, assisting with budget preparation, and reconciling year-end statements in alignment with Edon Management's financial processes
Assist with accounts receivable collection and reporting to ensure accurate and timely financial documentation
Support Quality Management System (QMS) administration, including document control, records management, and tracking of non-conformance items with appropriate follow-up
Represent Edon Management professionally as a front-line contact with tenants, clients, and contractors, reinforcing our commitment to service excellence
What You Bring
Minimum of three years' experience in property administration or commercial real estate, preferably within a property management environment
Strong understanding of lease documentation and general real estate contracts
Post-secondary education in Business Administration, Real Estate, or a related field (certificate or diploma) is considered an asset
Technical writing experience or coursework in professional communication is an advantage
Working knowledge of building systems such as electrical, plumbing, HVAC, life safety, landscaping, snow removal, and caretaking services
Familiarity with small project management processes, including developing specifications, estimating, scheduling, and interpreting design drawings, is considered an asset
High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and the ability to learn new software quickly
Excellent interpersonal and written communication skills, with the professionalism to interact confidently with tenants, contractors, and colleagues
Highly organized and detail-oriented, with the ability to prioritize and manage multiple tasks in a fast-paced environment
