Position Summary:



The Project Management Assistant is responsible for the administrative management of all claim loss activities for the branch. This role supports Project Managers, office operations, job file management, and customer service while ensuring the smooth execution of property damage restoration projects.

Core Responsibilities:



General Office / Warehouse Support:



Answer incoming phone calls. Assist with maintaining a clean, hospitable office environment. Greet and assist visitors in a professional manner.

Claims Loss Administration:



Provide general assistance to clients when PMs are away or out of the office. Complete initial phone call for all new claims - private and insurance claims. Schedule inspections and follow up appointments with homeowners and tenants and update calendars as needed. Daily review of jobs in production to ensure KPIs are being met. Respond to all adjuster and client notes/emails in a timely manner. Create tasks for PMs to complete ie. estimates, target dates. Complete reports as per the direction of the project managers. Complete job permits and all necessary applications for jobs in productions ie. city permits, demolition permits, NOPs. Assist with creating daily work orders for the operation teams. Receive dispatch calls from operation teams and update internal files. Follow up with subtrades and vendors on progress of jobs. Organize and track job information and documentation including timesheets, invoices, safety paperwork, etc.

Accounting Support:



Weekly review of timesheets and work orders. Assisting with job costing on all files under direction of PM. Collaborate with the accounting team to complete collections.

Health & Safety Compliance:



Ensure safety paperwork and toolbox meetings are completed each day. Always maintain and uphold PuroClean's Health and Safety Program.

Requirements and Qualifications:



Drivers license is a MUST Restoration experience is a strong asset The successful candidate will be expected to spend time in the field to obtain an understanding of the industry and participate in an on call rotation. Strong organizational and administrative skills. Excellent communication and customer service abilities. Ability to multitask in a fast-paced environment. Proficiency with office software and project management tools (experience with Xactimate, PSA, and XA an asset). Attention to detail, accuracy, and follow-up.
Job Types: Full-time, Permanent

Pay: From $19.00 per hour

Expected hours: 42.5 per week
